Job Summary:
Under minimal supervision, this role coordinates administrative, personnel, and logistical support for departmental programs that are often large and complex in nature. The incumbent carries out established program objectives and directives, determines the best approach to accomplish assignments, and ensures compliance with institutional policies and procedures. The position may also serve as a communication liaison, assist with planning special events, support grant and contract preparation and submission, and handle data management and financial tracking as needed.
Under general supervision and according to established policies and procedures, provides technical financial support for an assigned organizational unit requiring fundamental knowledge of business math and bookkeeping processes. Reviews requests to determine appropriateness with regard to institutional requirements, proper authorization and conformance with established laws, policies and procedures. Provides service to UAB community and third party agencies in problem resolution. Assists with the maintenance and reconciliation of budgets and accounts, reviews requisitions, orders equipment and supplies. Collects financial information and provides routine or simple reports and analyses as requested by superior. May perform other duties of a clerical or technical nature. Specific software may be required.
Duties and Responsibilities:
High School diploma or GED and three (3) years of related experience required.

Duties and Responsibilities:
- Provide comprehensive administrative and financial support to the Financial Officer and Program Director.
- Preparing and reconciling monthly financial reports, monitoring expenditures, processing purchase requisitions, and assisting with travel reimbursements and vendor payments.
- Maintain budget spreadsheets and ensure all transactions align with institutional and sponsor policies.
- Serve as a key liaison between the division and central administrative offices to resolve discrepancies, process journal entries, and ensure timely completion of financial actions.
- Assist in the coordination and processing of grants and contracts, including gathering and reviewing documentation for submission to institutional offices.
- Track award budgets, prepare supporting documentation for just-in-time requests, and monitor project expenditures for compliance with sponsor and university guidelines.
- Communicate with investigators and administrative staff to ensure timely submission and accurate recordkeeping for all grant-related materials.
- Maintain organized electronic and hard-copy financial records, spreadsheets, and supporting documentation to ensure audit readiness and data accuracy.
- Participate in internal meetings or conference calls to provide budget updates and track financial deliverables.
- Communicate clearly and professionally with clinical trial teams, the operations center, and consortium partners as needed.
- Provide additional administrative and fiscal support for reporting, audits, and special financial projects as assigned.
- Perform other duties as assigned
