ESSENTIAL DUTIES AND RESPONSIBILITIES

Patient Care

  • Prepare patients for examinations and procedures by obtaining vital signs, height, weight, BMI, and documenting chief complaints.
  • Review and update patient medical history, medications, allergies, and immunization records.
  • Perform point-of-care testing, specimen collection, EKGs, hearing and vision screenings, and other diagnostic procedures within scope of practice.
  • Administer medications and immunizations as ordered by providers and permitted by state regulations.
  • Assist providers with examinations and minor office procedures.
  • Provide patient education regarding medications, treatments, disease management, preventive health, and follow-up care.
  • Monitor patients for adverse reactions following procedures or immunizations.
  • Recognize and report changes in patient condition to the provider promptly.

Clinical Operations

  • Prepare examination and treatment rooms before and after patient visits.
  • Maintain adequate inventory of medical supplies and notify appropriate staff of shortages.
  • Clean, disinfect, and sterilize equipment according to infection prevention standards.
  • Ensure compliance with OSHA, CDC, CLIA, infection control, and Universal Precautions.
  • Accurately document patient care activities in the electronic health record (EHR).
  • Complete medication reconciliation and health maintenance documentation.
  • Assist with care coordination, referrals, prior authorizations, and follow-up communications.
  • Support quality improvement initiatives and clinical performance measures.
  • Monitor inventory of clean linens and ensure examination and treatment rooms remain adequately stocked. Assist with the collection, laundering, folding, and distribution of clinic linens in accordance with infection prevention, OSHA, and organizational standards to maintain a clean, safe, and patient-ready environment.

Population Health & Preventive Care

  • Identify patients due for preventive services including immunizations, cancer screenings, chronic disease monitoring, and annual wellness visits.
  • Participate in patient outreach initiatives and recall programs.
  • Assist in achieving organizational quality measures including HRSA Uniform Data System (UDS) reporting and value-based care initiatives.
  • Support chronic disease management through patient education and follow-up.

Patient Experience

  • Demonstrate exceptional customer service with every patient interaction.
  • Promote a welcoming, respectful, and inclusive environment.
  • Maintain patient confidentiality in accordance with HIPAA regulations.
  • Respond professionally to patient concerns and communicate appropriately with providers and leadership.

Teamwork

  • Collaborate effectively with providers, nurses, behavioral health, dental, pharmacy, care management, and front office staff.
  • Float between clinic locations or providers as assigned to meet operational needs.
  • Participate in daily huddles, staff meetings, quality improvement initiatives, and required trainings.
  • Support onboarding and mentoring of new employees when requested.

Administrative Responsibilities

  • Schedule diagnostic testing and specialty referrals as assigned.
  • Process prescription refill requests according to protocol.
  • Complete required forms, documentation, and patient communication within established timeframes.
  • Assist with patient portal messaging and telephone messages according to organizational policy.
  • Attends required meetings.

Quality and Compliance Responsibilities

  • Maintain compliance with all FQHC, HRSA, OSHA, HIPAA, CLIA, CDC, and state regulations.
  • Participate in quality improvement activities and risk management initiatives.
  • Complete all required organizational training and credentialing by established deadlines.
  • Follow Universal Primary Care policies and procedures.
  • Report safety concerns, incents, and compliance issues promptly

EDUCATION/EXPERIENCE

  • High School Diploma or GED required.
  • Graduate of an accredited Medical Assistant program preferred.
  • Current Medical Assistant certification (CMA, RMA, CCMA, NCMA, or equivalent) preferred or required per state regulations.
  • Current Basic Life Support (BLS) certification required or obtained within organizational guidelines.
  • One year of ambulatory care experience preferred.
  • Experience in family medicine, pediatrics, internal medicine, women's health, or community health preferred.
  • Experience with electronic health records preferred.

  • Knowledge of medical terminology, anatomy, and clinical procedures.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal abilities.
  • Ability to prioritize multiple tasks in a fast-paced environment.
  • Strong computer skills and proficiency with electronic health records.
  • Commitment to patient-centered, culturally competent care.
  • Ability to work effectively as part of a multidisciplinary healthcare team.

Universal Primary Care is seeking a compassionate, motivated Medical Assistant to join our team! As a Federally Qualified Health Center (FQHC), we are dedicated to providing high-quality, patient-centered healthcare to individuals and families throughout our communities. This position will be located in Olean, NY with a family medicine provider.

In this role, you'll work alongside providers to deliver exceptional care by preparing patients for visits, assisting with clinical procedures, administering immunizations, performing point-of-care testing, coordinating patient care, maintaining exam rooms, and supporting daily clinic operations. You'll also play an important role in promoting preventive care, achieving quality goals, and ensuring every patient has a positive experience.
