Job Summary
We are seeking a highly organized and proactive Executive Administrative Assistant to provide comprehensive support to the Business Owner & CEO. The ideal candidate will possess exceptional administrative skills, a keen attention to detail, and the ability to manage multiple tasks efficiently. This role involves coordinating office activities, managing the accounting and payroll systems, calendars, and ensuring smooth communication within the organization and CEO's adjacent business.
Responsibilities
- Provide executive administrative support, including managing calendars and scheduling appointments related to multiple businesses in various forms.
- Coordinate events, meetings, and travel arrangements for executive and communicate timelines to management staff.
- Maintain accurate records and files, ensuring proper organization and accessibility.
- Utilize ADP Run for payroll
- Participate in the addition of new systems for accounting and financial tracking as needed.
- Assist in project coordination by tracking deadlines and deliverables.
- Prepare documents, reports, and presentations using Microsoft Office, Yahoo! and Google Workspace tools.
- Proofread correspondence and documents for accuracy before distribution.
- Perform transcription of meetings or notes as required.
- Remove the CEO from functionary tasks such as Payroll, Billing and Payee Services.
- Perform Accounting tasks necessary for improvement of the business
Requirements
- Proven Administrative and Accounting background.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Yahoo! and Google Workspace applications.
- Strong typing skills with a focus on accuracy in data entry tasks.
- Excellent organizational skills with the ability to prioritize tasks effectively.
- Experience with bookkeeping or financial management software
- Experience in ADP Run and Medicaid billing (Sandata or Brittco) preferred.
- Demonstrated ability to manage calendars using Yahoo! Calendar system
- Strong clerical experience with attention to detail in filing and document management.
- Ability to maintain confidentiality while handling sensitive information.
