Position is in office, Monday – Friday, 8am – 5pm, one-hour unpaid lunch break as scheduled.Principal Accountabilities:% of TimeEnd Results20%Answer and operate the main phone lines efficiently by answering incoming calls for the corporate office promptly and courteously. Transfer gas leak emergency calls to central dispatch and customer calls to the call center. Greet and process visitors and guests courteously and helpfully in a timely manner. Ensure that all visitors, guests, contractors, and Unitil employees (from other reporting locations) sign in and out as part of Unitil’s emergency building evacuation procedures. Escalate agitated customer calls and unscheduled visitors when necessary.65%Provide efficient and professional Administrative Support services including but not limited to;Processing, sorting, scanning and emailing of incoming mail and packages from various internal and external carriers. Preparation of priority and overnight letter size packages as needed.Maintain up-to-date rosters as employees, temps and contractors are hired, transferred or terminated. TED: Maintain all phone number information (ext., cell & pager) in The Employee Database for entire Unitil System. Phone Extension Lists: Maintain separate phone rosters for each location posted on WebOps. Building Evacuation: Maintain the emergency building evacuation roster.Initiate purchase orders as requested.Invoice payment processing as assigned for various departments.Monthly reconciliation of department invoices including; overnight mail (UPS & FedEx), records storage vendors, etc. Word processing, spreadsheet & database creation and updating as assigned.Maintain up-to-date Receptionist procedures, work practices and protocols with keen attention to detail and understanding of all procedures and protocols that impact Unitil’s customers.Schedule Conference Rooms as requested utilizing company CORRS application.15%Other duties and special projects as assigned by Supervisor and Manager in order to support all Internal and External Unitil Customers including internet research, database updating and cost tracking. Qualifications:Associates degree or equivalent preferred. High School diploma or GED required.Minimum of two (2) years’ experience in a business environment preferred. Must possess excellent organizational and problem-solving skills.Excellent written and verbal communication skills. Demonstrated reliability and flexibility.Proficient PC skills including; MS Word, MS Excel, MS Outlook, MS Power Point, Acrobat, MS SharePoint and other desktop software. Must be available to work extended hours as assigned, possibly at secondary locations, in response toSystem emergencies. Unitil is an Equal Opportunity Employer.
