Position Summary
The Operations Implementations Project Coordinator provides administrative, coordination, and operational support for the implementation of outreach laboratory programs throughout the US. Reporting directly to the Vice President of Operations, this role focuses on project tracking, documentation, scheduling, reporting, and cross-functional coordination to ensure implementation activities are organized, compliant, and aligned with operational priorities.
This role is administrative in nature and supports executive leadership through structured processes, documentation management, and operational follow-through.
Key Responsibilities
- Provide administrative and project coordination support to the Vice President of Operations
- Coordinate schedules, meetings, and calendars; prepare agendas, capture meeting notes, and track action items
- Maintain project trackers, timelines, and task lists to support implementation oversight
- Organize, maintain, and version-control project documentation and operational records
- Support internal coordination across departments to ensure timely communication and follow-up
- Prepare routine status reports, summaries, and dashboards for leadership review
- Assist with documentation related to vendors, contracts, procurement, and onboarding in coordination with Operations and Finance
- Maintain compliance-related records and implementation documentation in accordance with organizational requirements
- Coordinate administrative logistics for outreach lab activities, including scheduling, materials tracking, and documentation
- Support data tracking, recordkeeping, and reporting related to implementation progress
- Perform general administrative and operational support duties as assigned by the Vice President of Operations
Required Qualifications
- Bachelor’s degree in business administration, Healthcare Administration, Operations Management, or a related field; or equivalent professional experience
- 2 years of experience in an administrative, operations support, or project coordination role
- Strong organizational, documentation, and time management skills with high attention to detail
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
- Ability to manage multiple priorities in a structured, deadline-driven environment
- Clear, professional written and verbal communication skills
Preferred Qualifications
- Experience providing direct administrative support to executive or senior leadership
- Experience in healthcare, laboratory, education, or corporate operational environments
- Familiarity with project tracking tools, task management systems, or reporting dashboards
- Experience working in regulated or compliance-driven environments
- Experience coordinating cross-departmental initiatives within an operations framework

Compensation & Benefits
- Salary Range: $65,000.00 – $80,000.00 (commensurate with experience)
