- Answer incoming calls and direct them to appropriate staff members or phone line
- Receive, direct and relay telephone messages
- Greet, assist and/or direct volunteers, visitors, and walk-ins
- Manage multiple calendars
- Maintain sign in/out log for visitors and staff
- Implement security controls when needed
- Assist staff as requested
- Perform other duties as assigned and approved by supervisor
- Ability to stay late during tax season
- Ability to rotate occasionally with other receptionists
Qualifications Knowledge / Skills:
Must have proficient knowledge in the following areas: office administration, customer service & Microsoft Office Suite. Possess cultural awareness and sensitivity, be flexible, and demonstrate sound work ethics, honesty, trustworthiness, maturity & good judgment. Must have effective verbal and listening communication skills and be able to multi-task.
Technology:
Must be able to use Microsoft Suite proficiently and effectively utilize new scheduling software to manage appointments, assist clients with making appointments using contact channels once available, and utilize multiple staff calendars when scheduling appointments. Must be able to enter time in an electronic timesheet.
Education:
High school diploma or equivalent.
Experience
Administrative or receptionist and Nonprofit experience preferred.
Working Conditions:
Normal office environment. Must be able to spend long hours sitting and using office equipment. Computers, which may cause muscle strain. Must be able to handle light lifting. Walking capability is needed to perform office duties, i.e. access printer/copier.
Other:
Must have a valid driver's license and reliable transportation.
