Summary
The Regional Administrative Assistant will answer calls, coordinate meetings, respond to inquiries, pull reports, maintain records and perform other administrative duties. This position will manage the schedule of the Regional Vice President by updating the calendar with meetings, reminders, conferences and various appointments. This position also supports all Regional Supervisors and Support Staff.
Key Responsibilities
The Regional Administrative Assistant will answer calls, coordinate meetings, respond to inquiries, pull reports, maintain records and perform other administrative duties. This position will manage the schedule of the Regional Vice President by updating the calendar with meetings, reminders, conferences and various appointments. This position also supports all Regional Supervisors and Support Staff.
Key Responsibilities
- Assist Regional RVP and Support Staff in daily tasks as needed
- Prepare presentations and informational material for meetings
- Perform day to day administrative tasks
- Answer phone calls and direct to appropriate person
- Greet visitors arriving at the Regional Office
- Set up conference calls
- Send and deliver mail, both external and interoffice
- Coordinate and set up meetings, order lunch if needed
- Order office supplies and maintain appropriate levels of inventory
- Make travel arrangements as needed
- Create and generate various reports
- Reconcile RVP’s monthly bills and statements
- Maintain absolute confidentiality about all sensitive details obtained by virtue of the position

- UCrew
- Donations
- Golf Tournament
- Anniversary luncheons
- General Manager Meetings
- Complete project related administrative tasks
- Assist with the development of project process documentation
- Clearly and effectively communicate to all Team Members, Guests and Partners
- Perform other duties assigned by supervisor.
- Must be 18 years of age or older
- College degree preferred
- Previous experience in administrative work is preferred
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
- Detail-oriented and able to complete multiple tasks
- Time management skills with the ability to achieve deadlines
- Excellent written and verbal communication skills
- Excellent planning & organizational skills, attention to detail in maintaining records and information transfer with high sense of urgency
- Strong interpersonal skills for developing positive and efficient working relationships
- Ability to accept change, work independently without supervision and effectively manage time
- Ability to function as a team but able to work with little or no supervision
- Ability to accept supervisory coaching related to performance, work habits and attitude
