Job Summary:
The Administration Department Administrative Assistant reports directly to the Executive Director of the PBRPC. Primary responsibilities include performance of advanced administrative assistance for the PBRPC, a Council of Governments. Duties include participation in administering personnel policies, implementing administrative procedures and records management and other duties assigned by the Executive Director. Position requires daily public, internal and membership relations. Will work with Executive Director to coordinate Board of Directors activities and manage records and meeting documents. Will ensure agency compliance with federal and state regulations for serving local, state and federal agencies, as well as the general public.
Job Duties:
Maintain and oversee personnel matters for the agency including records, employee onboarding/offboarding; completing reports, interpreting and maintaining regulations compliance, as well as reviewing and implementing administrative policies, procedures and employment law.
Coordinate with website management vendor regarding updates and changes to agency website.
Coordinate with IT managed service provider for updates and changes to agency IT system.
Organize and maintain public information including notices regarding open meetings.
Organize and oversee events pertaining to the Board of Directors including monthly meetings, annual general membership meetings, and dissemination of information.
Organize and maintain records regarding insurance coverage for agency.
Other duties as assigned by Executive Director.
Qualifications:
Proficient in administrative and organizational coordination. Knowledge of personnel and business requirements within a governmental agency following federal, state and local regulations. Proficient in communication practices to maintain effective relationships with all agency stakeholder groups. Proficient with experience in computer applications and office practices. Must be willing to travel occasionally to attend training and meetings.
Requirements:
Appropriate Texas Drivers License and proof of liability insurance.
Must be willing to consent to background check.
Associate or Bachelor degree, or proven experience.
