What are the responsibilities and job description for the Director of First Impressions position at United Retirement Advisor Group?
You are the first voice clients hear and the first face they see. You'll keep our front office running smoothly, keep our advisors' calendars full and on time, and make sure no call or appointment falls through the cracks.
What you'll do
Welcome everyone
- Answer and route phone calls, and handle voicemails promptly
- Greet clients and visitors and make them comfortable
Keep appointments on track
- Call clients to schedule review meetings and other appointments
- Send appointment reminders and confirm meetings
- Reschedule cancellations quickly, usually within one business day
Keep the office running
- Open, sort and route incoming mail, and prepare outgoing mail
- Copy, scan, and pull and organize client files
- Prepare files and materials before client meetings
- Run errands and keep the office organized and stocked
Support our events
- Help prepare for our educational and client events: invitations, name tags, materials, setup and check-in
What we're looking for
- Experience in a front desk, reception, medical office, or client service role
- A warm, patient phone manner, especially with older clients
- Organized and dependable, and able to switch between tasks without losing track
- Comfortable with computers, scheduling software and learning new tools, including AI tools
- Discretion with confidential client information
- Financial services experience is a plus, not required
