Administrative Assistant – Financial Services

The Role
We're looking for a dependable, professional Administrative Assistant to be the operational backbone of our office. This is a front-facing, detail-oriented role — you'll be the first voice clients hear on the phone and a key part of keeping our advisors organized and on track. If you thrive in a calm, structured office environment and take pride in doing things right, this could be a great fit.
What You'll Do
Answer and direct incoming calls in a warm, professional manner
Organize and maintain confidential client and office documents
Handle mail, email, and basic correspondence
Prepare forms, letters, and reports as needed
Support the team with general office tasks day-to-day
What We're Looking For
High school diploma or equivalent
At least 1 year of experience in an office, reception, or professional customer service setting
A natural phone presence — friendly, clear, and composed
Someone who takes confidentiality and accuracy seriously
Comfortable with Microsoft Office and general computer tasks
Professional in appearance and communication — this is a financial services office, not a casual environment
Bonus Points For:
Prior experience in financial services, insurance, legal, or any professional services office
Familiarity with scheduling or document management tools

Requirements
What We're Looking For
- Required Qualifications
- Education: High school diploma or equivalent
- Experience: 2 years in an administrative, reception, clerical, call center, customer service, or telephone sales role
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Core Competencies:
- Excellent organizational skills with keen attention to detail
- Strong written and verbal communication abilities
- Proven ability to multitask and prioritize in a fast-paced environment
- Demonstrated discretion in handling sensitive and confidential information
- Comfort with frequent phone communication
- Preferred Qualifications
- Associate degree in Business Administration or related field
- Background in Insurance, Finance, or Banking
