We are seeking a highly organized and detail-oriented HVAC Project Support Specialist to join our growing operations team. This role is key to keeping our HVAC department running smoothly — you’ll be the central hub for communication between customers, technicians, and management.
Responsibilities:
- Answer incoming customer calls and emails related to HVAC projects
- Schedule installations, maintenance visits, and service calls
- Pull and track HVAC permits with local building departments
- Prepare and send customer invoices and ensure timely payments
- Maintain organized project files, ensuring all documentation is up to date
- Communicate with technicians to confirm job readiness and timelines
- Assist in coordinating materials, inspections, and follow-ups
- Provide excellent customer service throughout each project phase
- 2 years of office or project coordination experience (HVAC or construction preferred)
- Strong communication and multitasking skills
- Proficient with Microsoft Office and CRM software (experience with ServiceTitan or similar a plus)
- Ability to read or interpret basic HVAC or construction documents (training provided)
