Role Description
This is a full-time, on-site Administrative Assistant role based in San Jose, CA. The Administrative Assistant will play a key role in supporting day-to-day operations by providing clerical and administrative assistance. Responsibilities include managing communications, maintaining organized records, handling phone calls with professionalism, assisting the Executive Assistant, and ensuring the efficient operation of office tasks. The position requires strong organizational skills and a proactive approach to problem-solving. There is some traveling (for meetings).
Qualifications
- Proficiency in Administrative Assistance and Executive Administrative Assistance
- Must have Detailed Note-Taking Experience (Taking Minutes in Board Meetings is a Plus)
- Experience in Trustee Board Meetings is a plus
- Strong verbal and written Communication skills
- Experience with Compliance and IRS documents is a plus
- Strong Clerical Skills, including data entry and document management
- Ability to multitask, prioritize workload, and meet deadlines
- Proficiency with standard office software such as Microsoft Office Suite, Adobe Acrobat, and Zoom.
- Attention to detail and a high level of accuracy
- Previous experience in administrative roles is a plus
- High school diploma or equivalent required; additional certifications or degrees in a related field are a plus
