Executive Assistant & Project Manager
(Chief of Staff Track)
Position Summary
We are seeking a high-performance Executive Assistant & Project Manager (EA/PM) to serve as the operational right hand to the Chief Revenue & Strategy Officer (CRSO). This is not a traditional administrative role — it is a hybrid executive enablement and program management position designed to accelerate execution across revenue, strategy, operations, and cross-functional initiatives.
The ideal candidate combines executive-level polish, project management discipline, and AI-native operating capability. This individual will manage critical workstreams, executive communications, strategic deliverables, operating cadences, and enterprise coordination while leveraging AI platforms such as ChatGPT and Claude to dramatically increase productivity and execution speed.
This role is structured as a development path toward Chief of Staff responsibilities for the right candidate.
Key Responsibilities:
Executive Support
- Manage and optimize the CRSO’s calendar, priorities, travel, and executive communications
- Prepare executive briefings, meeting agendas, pre-reads, and follow-up recaps
- Serve as a gatekeeper and trusted extension of the Office of the CRSO
- Handle sensitive and confidential information with professionalism and discretion
Project & Program Management
- Own and track strategic workstreams, initiatives, and executive priorities
- Coordinate cross-functional projects across leadership teams and stakeholders
- Maintain project plans, risk registers, status reporting, and operating cadences
- Drive initiatives from kickoff through execution and completion
Deliverables & Business Operations
- Build executive-level presentations, memos, board materials, and reports
- Support data analysis, spreadsheet modeling, and business reporting
- Ensure accuracy, formatting discipline, and high-quality output across all deliverables
AI-Native Execution
- Leverage AI tools such as ChatGPT, Claude, and custom GPT workflows as a daily operating layer
- Automate and accelerate recurring workflows, reporting, research, meeting recaps, and content creation
- Engineer prompts, workflows, and AI-assisted systems that increase operational leverage and productivity
- Maintain strong judgment and quality control over AI-generated output
Required
- 2 years supporting senior executives in high-growth, fast-paced environments
- Experience managing projects, programs, or cross-functional initiatives
- Advanced proficiency in Microsoft Excel / Google Sheets and PowerPoint / Google Slides
- Strong written and verbal communication skills with exceptional attention to detail
- Demonstrated daily use of AI platforms (ChatGPT, Claude, etc.) in a professional workflow
- Experience with project management tools such as Asana, ClickUp, Monday.com, Notion, or Smartsheet
- High discretion, professionalism, and ability to manage confidential information
Preferred
- PMP, CAPM, Scrum, or related project management certification
- Experience in logistics, transportation, supply chain, SaaS, or PE-backed companies
- Exposure to Chief of Staff or executive operations environments
- Familiarity with BI tools, SQL, or Python
- Bilingual English/Spanish
Salary : $85,000 - $100,000
