- Greet and check in patients, visitors, and vendors professionally.
- Schedule, reschedule, and confirm patient appointments.
- Answer incoming phone calls and route messages appropriately.
- Verify patient demographics, insurance information, and contact details.
- Collect copays, deductibles, and outstanding balances.
- Assist patients with intake paperwork, consent forms, and other required documents.
- Maintain accurate patient records in the Electronic Health Record (EHR).
- Scan, upload, fax, file, and organize documents as needed.
- Send appointment reminders and follow up on missed appointments.
- Coordinate referrals and assist with provider scheduling needs.
- Maintain patient confidentiality and comply with HIPAA regulations.
- Monitor and maintain a clean, organized, and welcoming reception area.
- Order and stock office supplies as needed.
- Communicate effectively with providers, billing staff, and other team members.
- Assist patients with general questions regarding services, scheduling, and office procedures.
- Recognize patients in crisis and immediately notify clinical staff.
- Follow clinic safety procedures and emergency protocols.
- Support daily administrative operations and special projects as assigned.
- Demonstrate professionalism, punctuality, reliability, and excellent customer service at all times.
- Maintain positive relationships with patients, families, referral sources, and staff.
- Attend required staff meetings, trainings, and compliance updates.
