Position Overview
The Benefits Analyst supports the benefits function by administering employee benefits and retirement programs while ensuring compliance, data accuracy, and a seamless employee experience. This role partners cross-functionally with HR, Finance, vendors, and employees to drive operational excellence across benefits programs.
Key Responsibilities
Benefits Administration & Compliance
- Administer comprehensive benefits programs (medical, dental, vision, wellness, disability, life, FSA, COBRA, and ancillary plans)
- Serve as primary contact for employee benefits inquiries and issue resolution
- Maintain and update benefits documentation (orientation materials, plan summaries, contribution rates, SPDs, SBCs)
- Coordinate COBRA administration and rate management
- Manage vendor relationships, audit invoices, and ensure timely payments
- Support compliance activities including:
- ACA eligibility tracking, IRS reporting, and corrective actions
- Notice of Coverage Options distribution
- State-specific filings (e.g., NJ reporting, MA 1099-HC)
- Summary Annual Reports (SAR) and required disclosures
- Assess plan changes and determine SMM (Summary of Material Modifications) requirements
- Monitor legislation and ensure compliance with ERISA, ACA, HIPAA, and other regulations
401(k) & Retirement Administration
- Administer 401(k) and retirement programs, ensuring data accuracy and regulatory compliance
- Perform weekly payroll reconciliation and funding, and maintain remittance accuracy
- Conduct election audits and ongoing plan administration
- Lead annual compliance testing, external audits, and Form 5500 filings
- Manage required annual notices (Safe Harbor, QDIA, SAR)
- Partner with Finance, auditors, and the 401(k) Investment Committee
Open Enrollment & Benefits Operations
- Lead end-to-end Open Enrollment execution, including planning, system configuration, testing, and audits
- Develop and deliver employee communications, training sessions, and webinars
- Manage vendor coordination, annual plan reviews (e.g., Express Scripts), and benefits strategy discussions (Mercer)
- Oversee annual activities including Mercer census, surveys, and SOW renewals
- Ensure accurate benefits deductions, including arrears audits
Leave of Absence & Employee Support
- Administer leave programs (FMLA, ADA, Paid Family Leave, disability, workers’ compensation) in partnership with vendors
- Audit leave systems, track usage, and manage employee premium payments during leave
- Maintain compliance postings (e.g., NYDBL) and update internal LOA guides
- Provide guidance to employees and managers on leave policies and processes
Financial & Operational Reporting
- Support financial reconciliation activities including 401(k) remittance and benefit-related reporting
- Manage SF Health Care Ordinance contributions and annual true-up
- Prepare reports and analysis, including Q4 ESI rebate reporting for Finance
- Maintain shared inbox and support day-to-day HR operations tasks
Employee Experience & Engagement
- Coordinate employee events and initiatives (e.g., flu shot programs, benefits webinars)
- Collaborate cross-functionally to improve processes, enhance efficiency, and elevate the employee experience
Qualifications
- Bachelor’s degree in Human Resources, Business Administration, or related field
- 5 years of experience in benefits and retirement administration
- Strong knowledge of U.S. benefits regulations (ERISA, ACA, HIPAA, FMLA, IRS)
- Experience with HRIS and benefits platforms (ADP and/or Workday preferred)
- Strong analytical skills and attention to detail
- Excellent communication and stakeholder management skills
- Ability to manage multiple priorities in a fast-paced environment
- Advanced proficiency in Excel and PowerPoint
- High level of discretion with sensitive information
Hourly Rate: $30-40/hr
