Job Responsibilities:
Sales Operations & Customer Support
- Prepare and submit accurate, timely quotes and proposals per company pricing guidelines and approval processes
- Serve as primary point of contact for routine customer inquiries on orders, delivery timelines, product specs and billing
- Manage order-related email responses
- Coordinate all aspects of sales cycle from lead qualification through order fulfillment and post-sales follow-up
- Manage demo requests end-to-end: schedule with Demo Team, coordinate equipment prep, shipping and return, track demo unit inventory
- Maintain and update customer records, sales activities and pipeline data in CRM with full accuracy delivery
Cross-Functional Collaboration
- Liaise with the US Finance department on invoicing, payment collections, credit applications, and expense reporting for the KA team
- Coordinate with the Warehouse team on inventory availability, order fulfillment, shipping logistics, and delivery confirmations
- Assist customers with shipping status updates and resolve urgent delivery issues
- Work closely with the Demo Team to ensure all customer demonstrations are properly prepared, staffed, and executed
- Communicate regularly with Unilumin's global NASS (Technical Support) team at headquarters to escalate technical issues, request product information, and coordinate engineering support for complex customer requirements
- Collaborate with third-party vendors and installation partners to ensure timely and successful project delivery
Administrative & Managerial Support
- Manage KA Sales Manager's calendar, schedule internal/external meetings and prepare meeting agendas/materials
- Compile sales reports, forecasts and performance metrics for management review
- Maintain forecast and opportunity pipeline data
- Process expense reports, travel arrangements and other administrative tasks for the KA team
- Assist in preparing sales presentations, proposals and contract documents
- Handle special projects and ad-hoc requests from KA Sales Manager and senior leadership
Qualifications:
- Bachelor’s degree in Business, International Trade, or related field
- 1–3 years of experience in sales operations or similar roles
- Exceptional verbal and written communication skills in English; ability to communicate effectively with customers, vendors, and internal stakeholders at all levels
- Outstanding organizational and time management skills with a proven ability to prioritize and manage multiple tasks simultaneously in a fast-paced environment
- Strong attention to detail and accuracy in all work products
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) and experience with CRM systems (Salesforce preferred)
- Ability to work independently with minimal supervision and take initiative to solve problems
- Strong interpersonal skills and ability to build and maintain positive working relationships
- Basic understanding of sales processes and business operations
