Job Description Summary Organization's Summary Statement: The University of Maryland Eastern Shore (UMES) is currently accepting applications for an Academic Support Associate within the Career and Technology Studies programs in Baltimore, Maryland. Please note that the work location is in Baltimore, MD. This position is located at the UMES CTE program offices next to the Baltimore Museum of Industry on the Inner Harbor (Baltimore, MD). About the Career and Technology Education (CTE) Studies Office: The Career and Technology Education (CTE) studies office offers the following six programs approved by the Maryland Higher Education Commission: • Bachelor's of Science degree in Technology and Engineering Teacher Preparation • Master's of Education degree in CTE • Upper Division (Undergraduate) Certificate in CTE • Upper Division (Undergraduate) Certificate in Work-Based Learning and Career Counseling • Post-Baccalaureate (Graduate) Certificate in CTE • Post-Baccalaureate (Graduate) Certificate in Work-Based Learning and Career Counseling These programs assist approximately 180 educators annually with obtaining their state teaching licensure or endorsement in a CTE area. The CTE studies programs are housed within The Department of the Built Environment and the School of Business, Engineering, Applied Sciences, Technology and Tourism Management (BEAST-TM). About the University Enrolling over 2,200 students, The University of Maryland Eastern Shore (UMES) is a land grant, historically black college founded in 1886 as the Delaware Conference Academy. Since its beginning, the institution has had several name changes and governing bodies. It was Maryland State College from 1948 until 1970, when it became one of the five campuses that formed the University of Maryland. In 1988, it became a member of the then eleven campus (now thirteen) University of Maryland System, now known as the University System of Maryland. UMES is approved by the state of Maryland and fully accredited by the Middle States Association of Colleges and Schools. The main campus is located approximately 15 miles south of Salisbury, Maryland. Responsibilities • Work with prospective and current on-site, off-site, and distance education students in the CTE programs housed at the Baltimore Museum of Industry. This position will help students navigate various UMES processes such as applying to a program, adding/dropping/withdrawing from courses, applying for graduation, and other related academic processes. • Assist students with questions about Maryland teaching licensure and endorsements in collaboration with local school system licensure personnel and the Maryland State Department of Education. • Assist students with transferring courses into UMES and developing a plan of study. • Maintain student records and assist the program Director with ensuring students are on track for graduation. • Assist the program Director with collecting data, analyzing data, and preparing reports related to student applications, enrollment, and graduation. • Provide ongoing support and program guidance for in-person and distance learning students and adjunct faculty. • Assist faculty with Learning Management System (LMS) issues (ex. uploading course templates each semester, uploading syllabi, posting announcements, etc.) • Work closely with university offices such as the Registrar, Admissions, Financial Aid, etc. to troubleshoot student issues that arise. • Assist the program Director with developing and updating Memorandum of Understanding (MOU) documents between the University and local school systems. • Collaborate with faculty to develop and periodically update program tutorials and direction sheets. Collaborate with faculty to develop and update program recruitment materials. • Periodically attend local recruitment events and professional meetings to promote the programs. • Perform other related duties as assigned. Required Minimum Qualifications: • Bachelor's degree from an accredited college or university. • Experience in an administrative support or academic advising role in a corporate or higher education environment. • Proficiency with using Microsoft Office 365, including Word, Excel, PowerPoint, and Outlook. • Excellent written communication skills. • Attention to detail and customer service. Required Knowledge/Skills/Abilities: • Must be able to work independently at times and also collaborate with a team of faculty and staff during other times. • Ability to manage people facing troubleshooting issues. • Knowledge of best practices in organization, administration, and customer service. • Knowledge of proper protocol in dealing with confidential information. • Ability to interpret and apply policies, procedures, regulations, and laws. • Ability to multitask while demonstrating a commitment to customer service and sensitivity to a culturally and ethnically diverse community. Physical Demands: • May require extended periods of standing, bending, stooping, sitting at desk. • May require lifting up to 25 lbs. • Requires communication with a variety of constituents externally and internally. • Requires operation of a variety of office equipment. Preferences: • Experience working with public school systems or working for a public school system. • Knowledge about Learning Management Systems (LMS) (ex. Canvas, Blackboard, etc.). • Experience working with website editing or graphic design programs.
