Job Description Summary Coordinate projects and contribute to the overall administration of College Park Scholars, an academic residential community for academically talented freshmen and sophomores in one of 13 interdisciplinary programs. Duties include: 1. PROJECT AND ADMINISTRATIVE COORDINATION 50% •Event planning, including room reservations, invitations, and RSVP data, refreshments, and correspondence with the host as needed •Refine and distribute meeting agendas, capture and distribute meeting minutes. •Course scheduling, including regular semester sections’ instructors, days, times, locations, seats, and registration characteristics. Management of breakout room reservations •Room reservations for Scholars program staff and community partners, including review of requests under current policy, and reservations in 25Live and/or Google calendar •Management of office supply inventory, including materials for Scholars Central and program use •Lead management of office equipment (supplies, communication with vendors, and support) •Coordinate distribution and collection of new student forms and maintenance of confidential response data (consent and release, emergency contacts, medical conditions) •Maintain database of Service Day site logistics (transportation, supplies, timing) •Lead building and office access operations, including requests for faculty, staff, and student workers, liaising with the Department of Residential Facilities for card swipe rosters and physical key distribution and inventory. •Liaise with the Department of Transportation Services for parking permits •Develop and maintain faculty-staff directory •Maintain contact lists (e.g., faculty-staff and central staff Google Groups) 2. FRONTLINE ENGAGEMENT & STUDENT SUPPORT 35% •Lead response to public inquiries via phone and email •Welcome visitors and guests, including prospective students and families, guest lecturers, and campus partners •Oversee outgoing mail and incoming mail distribution •Support the assistant director on recruitment and orientation programming, including meetings with prospective students, information sessions, and student ambassador presentations •Maintain inventory and distribute Scholars medallions to graduating students •Coordinate distribution and collection of award applications as needed 3. SPECIAL PROJECTS 15% Support central staff on ad hoc projects, potentially including •Program assessment •Student engagement •Peer Mentor program •Dialogue courses •Cross-program initiatives •Student Advisory Board meetings •Strategic planning and program reporting •Other duties as assigned Physical Demands: Physical activity is present in both typical office environments and student programming settings. Lifting of boxes and materials, particularly during occasional evening or weekend programs/duties, is sometimes required. Licenses/ Certifications: None PREFERENCES: Preference for a candidate with administrative experience in higher education; familiarity with UMD systems and procedures (including course scheduling, parking permit administration, Workday for procurement and human resources, and student data); and interest in higher education policies and procedures. Should be a self-starter and problem-solver with a proven record of attention to detail, follow-through, reliability, and ability to communicate effectively in written and oral formats with the varied constituencies of College Park Scholars. Should also demonstrate the ability to maintain confidentiality and a high degree of customer service and professionalism. Minimum Qualifications Education: Bachelor’s degree from an accredited college or university. Experience: One (1) year of professional secretarial, clerical, coordinator, or administrative experience. Other: Additional work experience as defined above may be substituted on a year for year basis for up to four (4) years of the required education. KNOWLEDGE, SKILLS, & ABILITIES: Knowledge of clerical and administrative procedures and systems such as filing and record-keeping. Skill in oral and written communication. Skill in the use of Microsoft Office products. Ability to multitask and prioritize assignments.
