The Samples Coordinator oversees the fulfillment of product samples and ensures efficient document control processes. This highly organized and detail-oriented role involves managing sample inventories, coordinating supplier interactions, collaborating with sales on sample forecasts, arranging shipments, and maintaining accurate product documentation.
Sample Coordination
- Fulfill product sample requests and provide inventory updates to internal teams.
- Communicate with counterparts on sample supply, inventory exchanges, and updates.
- Collaborate with suppliers to establish strong working relationships.
- Provide sample shipment tracking to the internal team.
- Follow proper storage and shipment protocols compliant with Safety Data Sheets (SDS).
- Maintain and organize sample stock, supplies (e.g., containers, labels, packing), and the sample area.
- Monitor inventory to balance demand with waste prevention.
- Prepare, label, and ship samples, ensuring compliance with Globally Harmonized System (GHS) warnings, OSHA, and MSDS guidelines.
- Conduct ongoing safety training (HAZMAT, OSHA) and utilize FedEx/UPS platforms for shipment processing.
- Enter and maintain accurate data using Excel sheets for tracking and inventory.
- Receive, verify, and audit Certifications of Analysis (COA).
- Organize, store, and accurately label all product documentation.
- Ensure compliance with sample labeling, specifications, and regulatory standards.
- Create drum, tote, and packaging labels; process and finalize Bills of Lading (BOLs) and related shipping documents.
- Provide professional communication with internal and external personnel.
- Perform miscellaneous duties as needed and adapt to changing requirements effectively.
- Maintain exceptional attention to detail, follow-up, and organizational skills.
- High school diploma or equivalent required; degree in business administration, logistics, or related fields preferred.
- 2-5 years of experience in purchasing, inventory, or supply chain management.
- Experience in the chemical or specialty ingredients industry is a plus.
- Strong understanding of inventory management and supply-side logistics.
- Proficiency in Microsoft Office, especially Excel; ERP system experience (e.g., Chempax) is a plus.
- Excellent communication, organizational, problem-solving skills, with attention to detail.
- Ability to focus on details, manage deadlines, and prioritize tasks in a fast-paced environment.
- Maintain confidentiality and professionalism when handling sensitive information.
- Regular sitting, standing, and walking; occasional lifting/moving of up to 10 lbs.
- Operates standard office equipment (e.g., computer, phone, fax, copy machines).
- Must pass background checks, drug tests, and behavioral assessments as per company policy.
