Client Operations Manager

Position Summary

Our Healthcare client is looking for a motivated and entrepreneurial Client Operations Manager to help drive the day-to-day success and growth of our on-site healthcare clinics.

This role is ideal for someone who enjoys wearing multiple hats, solving problems in real time, and working closely with both clinical teams and leadership. You will play a key role in supporting our EMR system, improving operations, building client relationships, and helping us to continue to grow.

We move quickly, think creatively, and focus on delivering real value to our clients and patients. This is a hands-on role where your work will make an immediate impact.

What You'll Do

Operations & Technology

  • Help manage and optimize our EMR system (PrognoCIS) and daily clinic operations
  • Support scheduling, reporting, patient portal functionality, and system troubleshooting
  • Assist with onboarding new clinics, providers, and workflows
  • Jump in to solve problems and keep operations running smoothly

Reporting & Analytics

  • Build and maintain client reports, utilization summaries, and basic ROI insights
  • Use data to identify trends, improve efficiency, and support decision-making
  • Assist in organizing and presenting information in a clear, client-friendly way

Client Support & Growth

  • Support client relationships through communication, reporting, and follow-up
  • Assist with client meetings, presentations, and ongoing engagement
  • Help identify opportunities to improve services and increase clinic utilization

Marketing & Business Development

  • Assist with marketing materials, flyers, and presentations
  • Support outreach efforts with brokers and client partners
  • Participate in wellness events and help represent HCS in the community

Process Improvement & Team Support

  • Help identify ways to improve workflows and clinic efficiency
  • Support training for providers and staff on systems and processes
  • Work closely with leadership and the corporate team to keep projects moving forward

Administrative & Operational Support

  • Assist with general operations including vendor coordination, reporting, and compliance
  • Support budgeting and operational tracking as needed
  • Help ensure all processes align with HIPAA and company standards

Minimum Qualifications

  • Bachelor's or associate's degree in business, Healthcare Administration, Health Informatics, or related field
  • 2 years of experience in operations, healthcare, or a related field
  • Strong Excel and organizational skills
  • Excellent communication and problem-solving abilities
  • Ability to work both independently and as part of a team

Preferred Qualifications

  • Experience working with an EMR system (experience with PrognoCIS is a plus)
  • Background in healthcare or clinic operations
  • Familiarity with tools like Power BI, Canva, and Microsoft Teams
  • Experience supporting projects or process improvements
