Position Summary
The Office of the Vice Chancellor for Health Affairs provides oversight of the University of Illinois and Hospital & Health Science System. The person in this role will work in collaboration with the advancement office which reports to OVCHA. The advancement team is dedicated to growing a culture of engagement and philanthropy among UIC Students, alumni, faculty and staff as well as local and national corporations, foundations and individuals looking to make a difference in the world by giving to UIC/UI Health.
Duties & Responsibilities
· Perform accurate data entry and analysis for projects ranging in complexity from straightforward paper-to-digital transfers to mid-level data cleanup and preparation of files for import.
· Analyze datasets for completeness and quality, flag anomalies, and produce summary reports.
· Proofread and copy edit materials, ensuring they are high-quality and free of errors.
· Monitor progress for special projects and send reminders about key deadlines to keep workplans on track.
· Compile and circulate materials for review: Gather, organize, and distribute documents, reports, and supporting materials to stakeholders on schedule. Track feedback and consolidate reviewer comments for follow-up.
· Serve as a liaison with third-party vendors.
· Manage scheduling, aligning calendars across departments and units.
· Attend to the logistics of meetings. Gather and organize documents, prepare agenda materials, and keep minutes.
· Compose letters and routine correspondence.
· Prepare and submit expense reports.
· Maintain records of expenditures and assist with financial reporting as needed.
· Build plug-and-play templates for standard reports and donor communications.
· Assist with recordkeeping as needed.
· Assist with planning and logistics for special campaigns and events as needed.
· Perform other administrative tasks as assigned.
