Position Overview:

Under the general direction of the Manager of Graduate Advising and as part of the MS advising team, the incumbent is responsible for the administrative management of student-related activities and other educational matters pertaining to the Master of Science (M.S.) program in the Department of Electrical and Computer Engineering. There are currently approximately 600 enrolled M.S. students and 300 Ph.D. students, and annual continued growth is expected. Responsibilities include but are not limited to M.S. student curriculum advising, M.S. student academic monitoring, M.S. student matriculation and graduation, the TA hiring process, management of TA/Reader/Tutor allocations, management of the TA English language testing process, and coordination of the M.S. comprehensive examination. Responsible for assisting international students with CPT, OPT, RCL, I-20 extension requests, and other immigration-related processes required by ISEO. Also responsible for curriculum development for the M.S. program with thirteen disciplines of study, compliance with GEPA's rules & regulations regarding achieving an advanced degree, working closely with faculty/administration to resolve program deviations, preparing written and electronic material about the graduate program for university wide and global distribution, maintaining graduate student databases and spreadsheets, assisting with designing, authoring and maintaining graduate web pages, assisting with financial analysis and planning for graduate program, partnering with faculty in program planning and resource development, and serving as departmental liaison at both on and off-campus meetings. Responsible for independent development of time-saving protocols and structural organization as it relates to the above duties. Applies professional student services concepts. Provides varied student services to students, faculty, and department / school / college management. Works on moderately complex issues. Receives assistance on more complex issues.

  • This position offers a hybrid (remote/on-site) work arrangement. The on-site location is on the main campus in La Jolla.

  • Occasional evenings and weekends may be required.

  • Overtime may be required.

  • Skills and knowledge to identify, gather, and analyze information (including statistical material) into meaningful reports and/or documents.

  • Ability to analyze complex policies and regulations and exercise sound judgment in their application.

  • Demonstrated knowledge of computer systems and software including electronic mail, internet/intranet databases, spreadsheets, and word processing.

  • Ability to use software to develop complex information sources and to produce a wide variety of reports.

  • Ability to interpret and compile data and academic material and provide detailed statistical reports or adapt it for presentation in brochures, flyers and general catalog.

  • Ability to locate and utilize research/resource material.

  • Ability to interact with and clarify procedures for faculty by means of collecting research, and development and management of new policies as needed.

  • Experience in or knowledge of administering student affairs issues related to the graduate programs and curricula.

  • Experience in analyzing academic records, materials, organizing information, and working with program directors and/or advisors.

  • Ability to maintain strict confidentiality.

  • Proven ability to effectively listen, advise and counsel students on University and Department program offerings, policies, procedures, curricular requirements. Sensitive to students needs and concerns; able to deal with stressful and unpleasant situations without losing composure.
