Position Information
The Center for Environmental Research & Technology (CE-CERT), within the Bourns College of Engineering at the University of California, Riverside, is seeking a highly organized, service-driven Department Coordinator to join our team.
CE-CERT is at the forefront of environmental and energy research, partnering with industry, government, and academic leaders to advance innovative solutions. The Department Coordinator plays an essential role in supporting this mission by ensuring daily administrative operations run smoothly and professionally.
This is a fully on-site position and serves as the first point of contact for faculty, students, industry partners, and visitors. The individual in this role helps shape the experience of everyone who walks through our doors. We are looking for someone who takes pride in creating a welcoming, responsive, and well-organized environment.
Responsibilities include staffing the front desk during regular business hours; managing Concur travel and entertainment reimbursements with accuracy and attention to university policy; coordinating and supporting Center meetings and events; and handling a range of administrative tasks that keep operations efficient and on track. Success in this role requires strong judgment, attention to detail, and the ability to manage multiple priorities in a professional office setting.
The full salary range for the Department Coordinator is $52,993.44 - $75,105.36 annually. We base salary offers on a variety of considerations, such as education, licensure and certifications, experience, and other business and organizational needs.
Applicants must have current work authorization when accepting a UCR staff position. Currently, we are unable to sponsor or take over sponsorship of an employment Visa for staff.
As a University employee, you will be required to comply with all applicable University policies and/or collective bargaining agreements, as may be amended from time to time. Federal, state, or local government directives may impose additional requirements.

Under general supervision, the Department Coordinator provides administrative coordination and operational support for the Center for Environmental Research & Technology (CE-CERT) within the Bourns College of Engineering. The incumbent serves as a primary administrative point of contact for faculty, staff, students, visitors, and external partners, supporting daily business operations and maintaining a professional and welcoming environment. This is a full-time, 100% in-person role to ensure seamless customer service and operational continuity.
The position coordinates key administrative functions including front office operations, meetings and events, travel and entertainment reimbursements, and administrative service requests. The incumbent applies knowledge of university policies and procedures to ensure compliance with campus guidelines and may provide guidance and task coordination to student assistants supporting administrative or front office operations.

Respond to inquiries regarding departmental procedures and administrative processes and direct requests to appropriate resources. Coordinate visitor logistics including meeting arrangements, facility access, and scheduling of departmental resources. Maintain administrative records and support general office operations to ensure efficient departmental functioning. May provide guidance, training, and task coordination to student assistants supporting front office or administrative operations. 25%
Event and Meeting Coordination: Coordinate administrative logistics for departmental meetings, seminars, workshops, and conferences. Arrange meeting logistics including room reservations, catering, equipment setup, visitor travel coordination, and communication with campus service units. Assist with planning and execution of departmental events and ensure logistical arrangements comply with university administrative procedures. 25%
Travel and Entertainment Administration: Coordinate travel arrangements and process travel and entertainment reimbursements for faculty, staff, students, and visitors. Review reimbursement requests to ensure compliance with University travel and entertainment policies and applicable guidelines. Resolve routine issues related to travel documentation, expense reporting, and reimbursement procedures. 25%
Administrative Operations and Service Coordination: Coordinate departmental administrative service requests including facilities, IT support, and other campus operational services. Monitor status of service requests, communicate updates to departmental stakeholders, and follow up with service providers to ensure timely resolution. Maintain shared administrative resources including conference room scheduling, parking passes, and departmental facilities usage. 15%
