Custom Scope (customizable, will be used in the job posting/advertisement): The Department of Molecular Biology and Biochemistry is seeking for an energetic, self-motivated, organized, reliable, service-oriented member to join our administrative support team. Under general direction of the Department Administrator, the incumbent will be responsible for providing administrative support for the Chair, Department Administrator, faculty, postdocs, staff and graduate students of the Department. Incumbent will assist in policy interpretation and problem solving that requires on-going interaction with all levels of university stakeholders, faculty and staff. The incumbent will assist with financial and administrative management of select department funds. The incumbent will be responsible for preparing reimbursements, maintaining department website, coordinating seminars, equipment inventory management, coordinating vehicle/room reservations, faculty renovation projects, facilities/key and logistical requests. The incumbent will assist in coordinating graduate student recruitment, and will provide backup support for graduate affairs and instructional matters. The incumbent will be responsible for coordinating faculty recruitments, and serve as backup purchaser for the department. The incumbent will assist with senate faculty merit and promotion files for the annual Academic Personnel Review. The incumbent will be responsible for training and supervising student workers. The incumbent will assist with timely and accurate collection/coordination of quarterly graduate student funding support with fiscal officers and HR personnel in Dean's office.

Required:
3-5 years of experience in administration and/or finance, or an equivalent combination and experience/training.
Bachelor's degree in related area and / or equivalent experience / training.
Ability to use sound judgment in responding to issues and concerns. Solid communication and interpersonal skills to communicate effectively with all levels of staff verbally and in writing. Solid organizational skills and ability to multi-task with demanding time frames. Working knowledge of common organization-specific and other computer application programs. Ability to use discretion and maintain confidentiality. Ability to maintain tracking systems, electronic and/or paper filing system. Ability to analyze and implement policies and procedures. Ability to establish and maintain effective working relationships and communicate with departmental staff, management, and other campus staff. Skills in financial analysis and problem resolution, and in following through on assignments. Ability to follow directions and work effectively as a team member to attain organizational objectives.
Preferred:
Demonstrated knowledge of University of California accounting and procedures to complete forms necessary to accomplish various account/business transactions. Knowledge of Kuali Financial Systems or similar financial system. Working knowledge of University of California contracts and grants administrative procedures. Working knowledge of web software, such as WordPress, for use in website management.
