Job Summary

Under the guidance of the Executive Director of Communications and Marketing and in collaboration with academic and administrative leads, the Program and Event Manager provides high-level administrative, programmatic, and analytical support for a wide-range of activities, programs and events within Graduate Studies. The Program and Event Manager provides leadership for a wide range of initiatives related to graduate education events and activities including planning, coordination and execution. The Program and Event Manager also develops and maintains schedules for special projects in the division, ensuring that all key project elements (milestones, resource requirements, task assignments, progress tracking, and status reporting) are accurate and accounted. #CA-AR

Minimum Qualifications - For full consideration, applicants are encouraged to upload license and/or certification if required of the position

  • Bachelor’s degree and / or three to five years of experience in related area, and / or equivalent combination of education and experience.
  • Political acumen and collegial communication skills to work in a highly visible executive-level office environment and to interact with persons of varying levels of expertise, interest, and personal investments in the activities of the program.
  • Ability to use high-level of discretion and maintain a high level of confidentiality.
  • Thorough written, verbal, and interpersonal communications, tact, and political acumen to effectively represent the campus.
  • Effective research, analytical, and critical thinking skills, including sound judgment and decision-making skills and skill to correctly identify real and potential problems, advising management as required, and proposing effective strategic resolutions.
  • Demonstrated skills with event planning with ability to work autonomously and with others to achieve program goals.
  • Analytical/problem solving skills.
  • Ability to manage multiple complex projects simultaneously.
  • Skill in project management, including event planning and meeting deadlines.
  • Ability to lead committees and communications. Organizational and time management skills. Interpersonal and decision-making skills.

Preferred Qualifications

  • Experience in planning on-campus internal and external events of varying size, i.e., annual commencement ceremony.
  • Experience conceptualizing, developing, monitoring, and evaluating program and event budgets, financial reports, and projections.
  • Experience with basic accounting and fiscal management principles.
  • Experience recruiting, motivating, organizing, and directing volunteers, groups, interns and students.
  • Experience in procurement for all aspects of program implementation including securing bids and quotes for goods and services from various vendors.
  • Experience implementing promotional and marketing techniques to target audiences.
  • Experience writing press releases and public affairs announcements preferred.
  • Thorough knowledge of the campus, its mission, goals, objectives, programs, achievements, infrastructure, and issues of concern.
  • Knowledge of industry trends, best practices, and industry benchmarks.
  • Skill to communicate and work collaboratively on job specifications/instructions with designers, photographers, printers and other vendors to ensure quality, including reviewing proofs; arranging photos shoots, particularly those related to events, and press checks, as needed.
  • Demonstrated skills with event planning with ability to work autonomously and with others to achieve program goals.Skill to research, collect, and analyze information on promotional events and programs.

Graduate Studies (GS) advocates on behalf of graduate students and postdoctoral scholars, supports the faculty and staff engaged in delivering graduate education, and administers academic and administrative policies affecting graduate students and postdoctoral scholars in ways that foster a culturally and intellectually diverse environment characterized by high academic standards. Work Environment
