Job Summary

Working under the general direction of the Executive Assistant Dean of Administration and Finance, operate with a high degree of independence and autonomy on a day-to-day basis. Provide high-level analytical and business operations support to the Dean's Office and other departments within the College of Biological Sciences on matters concerning policy, budgeting, funds management, administration, HR, and facilities/safety. Serve as the primary account and organization manager for the Dean's Office. Oversee the Dean's Office business and payroll functions, and monitor funding and expenditures for ~$10M operating budget, including multiple funding sources (e.g., general funds, private gifts & grants, endowments, self-supporting funds). Lead Dean's Office business operations.
Supervise the Events Manager, Business Office Assistant, and student workers.

Qualifications

Minimum Qualifications - For full consideration, applicants are encouraged to upload license and/or certification if required of the position

  • Bachelor's degree in related area and / or equivalent experience / training
  • Financial management/planning experience within an institution of significant complexity and breadth, using automated financial information, including payroll/personnel, ledger reconciliation, purchasing and contracting.
  • Experience researching and interpreting data, and presenting analyses both orally and in writing.
  • Skill to develop and implement short-term and long-term solutions/plans; Skills to understand, interpret, and apply federal, state, and university policies, procedures, regulations, and rules.
  • Proven team leadership and decision-making skills; ability to recruit, train, and evaluate performance of staff supervised.
  • Interpersonal and communication skills to effectively work with a range of constituencies, including leadership, peer managers, and direct reports.
  • Ability to multi-task in a service-oriented, fast-paced environment and achieve results.

Preferred Qualifications

  • Experience in planning and implementing process improvements to enhance work processes and systems.
  • Knowledge of UC and campus standard business policies and practices (including budget, accounting, financial administration, HR, extramural activities, student financial aid, fiscal close, gift acceptance, endowment management), as well as business systems (e.g. AggieEnterprise, UCPATH, and Cognos).
  • Advanced Excel skills, including Macros, Pivot Tables, Power Query, XLOOKUP, etc.

Department Overview

The College of Biological Sciences has five academic departments and three interdisciplinary centers. The College has over 1000 employees (including 120 faculty),6000 undergraduates, 400 graduate students, and over 48,000 alumni. Total annual College expenditures exceed $150M. The Dean's Office consists of 7 sub-units (including Administration, Development, IT, Marketing, Biology Academic Success Center, Health Professions Advising, and Graduate Academic Programs), houses ~55 employees across three buildings, and has ~10M operational budget.
