Job Summary
The Scheduler/Administrative Coordinator ensures efficient scheduling of field operations and provides critical administrative support to maintain operational compliance and productivity. Reporting to the Area Supervisor, this role facilitates seamless coordination of technician schedules and administrative processes to support client needs.
Duties and Responsibilities
Schedule Field Operations: Develop and manage daily schedules for technicians, coordinate work orders, and ensure timely completion of field tasks using scheduling software.
Administrative Support: Process invoices, create permits, and maintain accurate records in compliance with client requirements.
Compliance and Reporting: Monitor and document adherence to safety and operational standards; prepare reports for management on scheduling efficiency and administrative metrics.
Stakeholder Communication: Liaise with field personnel, clients, and internal teams to resolve scheduling conflicts and administrative queries promptly.
Attend planning and development meetings and other events on behalf of the Area Supervisor, Lead, or other assigned leadership staff as needed.
Assist leadership with planning functions for special projects.
Perform other related duties as assigned.
Required Skills and Abilities
Excellent verbal and written communication skills.
Strong organizational skills and attention to detail.
Basic understanding of office and institutional management practices.
Ability to create, understand, and implement budgets.
Proficiency in Microsoft Office Suite or related software.
Education and Experience
High school diploma or equivalent; associate degree in business or related field preferred.
2 years of experience in scheduling or administrative roles, preferably in oil and gas or similar industries.
Proficiency in Microsoft Office (Excel, Word) and scheduling software (e.g., MS Project or similar).
Strong organizational skills and attention to detail.
Preferred Qualifications
Experience with oilfield operations or client-specific compliance.
Familiarity with ISNetworld or similar compliance platforms.
Physical Demands
Regular use of hands and fingers; ability to handle, feel, talk, and hear.
Frequent sitting, standing, and walking; occasional bending, stooping, and kneeling.
Regularly lift/move up to 10 lbs; occasionally up to 50 lbs.
Specific vision abilities include close, distance, color, peripheral vision, depth perception, and focus adjustment.
Working Conditions
Indoor work in environmentally controlled conditions.
Daily interaction and coordination with field maintenance mechanics, lead mechanics, and area supervisors to facilitate work scheduling, work orders, permit completion, and client communication requirements.
Routine use of standard office equipment (computers, phones, photocopiers, filing cabinets, fax machines).
Interaction with others via face-to-face, email, or phone.
Occasional contact with external customers or the public, which may involve handling unpleasant interactions.
Office-based in Midland, TX, with occasional field visits (up to 10% travel).
Standard hours: Monday–Friday, 7:00 a.m. – 5:00 p.m., with flexibility for urgent scheduling needs.
