Position Summary
The Office Manager is responsible for overseeing administrative operations, maintaining accurate records, supporting staff and resident needs, and ensuring compliance with state and facility regulations. This role is essential to creating a professional, efficient, and welcoming environment for residents, families, staff, and visitors.
Key ResponsibilitiesAdministrative & Office Operations
- Manage daily office functions, including phones, mail, filing, scheduling, and supply inventory.
- Oversee front desk operations and ensure excellent customer service for all visitors.
- Prepare and maintain resident files, documentation, and administrative records.
- Assist with organizing meetings, events, and staff schedules.
- Maintain a clean, organized, and professional office environment.
Regulatory Compliance & Recordkeeping
- Ensure all required documentation is completed, filed, and updated in accordance with state regulations.
- Support compliance audits and prepare requested materials.
- Track licenses, certifications, and training records for staff.
Human Resources Assistance
- Support onboarding of new employees, including paperwork, orientation scheduling, and file creation.
- Maintain HR records and assist with timekeeping and payroll preparation.
- Help coordinate staff training and compliance requirements.
Communication & Customer Service
- Serve as the primary administrative point of contact for residents, families, vendors, and staff.
- Respond to inquiries promptly and professionally.
- Facilitate communication between departments and leadership.
QualificationsRequired
- Must be able to pass a background check.
- High school diploma or equivalent; associate’s or bachelor’s degree preferred.
- Experience in office administration or office management (experience in healthcare or senior living is a plus).
- Strong computer skills (Microsoft Office, scheduling systems, electronic record platforms).
- Excellent communication, organizational, and multitasking abilities.
- Ability to handle sensitive information with confidentiality and professionalism.
Preferred
- Knowledge of assisted living regulations or healthcare compliance.
- Experience in billing, bookkeeping, or HR support.
- Strong problem-solving skills and a proactive approach to daily operations.

Pay: $15.00 - $16.00 per hour
