Position Overview
We are seeking a proactive, results-driven Dental Front Office Business Leader / Treatment Coordinator to join our team. As the cornerstone of our administrative team, you will oversee the day-to-day operations at the front desk with a sense of urgency, ensuring smooth processes and excellent patient service. You'll manage the schedule, present treatment plans and financial options, own case acceptance, and drive initiatives that enhance patient satisfaction and practice growth.
This role is perfect for someone who thrives in a fast-paced environment, loves connecting with patients, and knows how to guide conversations toward a confident "yes." You'll also help support HR functions, support marketing efforts, and lead the front office team to maintain organization and productivity. With an entrepreneurial mindset, you'll work closely with the practice owner to streamline operations and contribute to the long-term success of the practice.
What You'll Do
Front Office Leadership & Operations
- Oversee the day-to-day operations of the front desk, ensuring smooth patient flow and efficient office procedures
- Manage and optimize the daily schedule to ensure maximum productivity and patient satisfaction
- Lead and support the front office team, fostering a collaborative and positive work environment
- Assist with HR functions as needed
Treatment Coordination & Case Acceptance
- Present treatment plans clearly and confidently, helping patients understand their options and the value of recommended care
- Sell treatment plans and financial options, helping patients make informed decisions about their care
- Own case acceptance numbers, following up with patients who haven't yet moved forward with treatment
- Track and report on production and case acceptance metrics
- Build trust and rapport with patients to support long-term relationships with the practice
- Collaborate closely with clinical team members to ensure smooth handoffs from diagnosis to treatment
Financial Coordination & Insurance
- Review costs and insurance coverage with patients, and offer financing options (such as CareCredit and Sunbit) to make treatment accessible
- Verify insurance benefits and eligibility before patient appointments
- Oversee accounts receivable in coordination with the Insurance and AR Specialist
Practice Growth
- Implement and oversee initiatives to drive office growth, improve patient experience, and enhance financial performance
- Collaborate with the marketing team to help develop and execute strategies to attract new patients and maintain strong relationships with existing ones
- Work closely with the practice owner to streamline processes, increase office efficiency, and contribute to long-term practice goals
- Do whatever it takes to help the office run smoothly
What We're Looking For
- Proven experience in a leadership role within the dental field, with strong administrative and management skills
- Experience in dental treatment coordination or financial coordination preferred
- Strong understanding of dental insurance, benefits verification, and financing options (CareCredit, Sunbit, etc.)
- Confident, persuasive communicator who can navigate financial conversations with empathy and build strong patient relationships
- Highly organized, with strong follow-up habits and a sense of urgency in managing day-to-day office operations
- Comfortable working independently and taking ownership of outcomes
- Ability to think strategically and implement initiatives to drive growth and improve office efficiency
- Entrepreneurial mindset with a passion for growth, leadership, and patient care
- A positive, team-oriented attitude
- Experience with Dentrix dental software and Weave phone systems is a plus
Pay: $23.00 - $29.00 per hour
Expected hours: 36.0 – 40.0 per week
