Overview
The Office Administrator is responsible for providing administrative support to ensure efficient operation of the office. Supports managers and employees through a variety of tasks related to organization and communication. Responsible for confidential and time sensitive material. Familiar with a variety of the field's concepts, practices and procedures. Ability to effectively communicate via phone and email ensuring that all duties are completed accurately and delivered with high quality and in a timely manner.
Responsibilities
Greet walk-in customers and answer phones.
Assist with project bids, change orders and correspondence.
Keep job review log current. Prints for weekly schedule meeting.
Review payroll timesheets for job numbers; accuracy; logs time into projects.
Generate all work orders.
Develop and update jobs obtained report on a daily basis.
Support sales staff, typing all estimates
Compares purchase orders/order acknowledgements for accuracy.
Generates emails, memos, proposals, change orders as requested.
Municipality projects - securing plans, securing bid, performance & payment bonds, invoicing, etc.
Accounts payable support- entering invoices, generating checks for payment.
Commercial estimates, billing, etc.
Entering all awarded projects into QuickBooks, updating all project status in Pavement Soft. Invoicing for all commercial work and A/P follow-up.
Municipality projects - securing plans, securing bid, performance & payment bonds, invoicing, etc.
Training of new office employees when it pertains to knowledge of office procedures, programs and services ASR offers.
Assist in scheduling commercial work
