ABOUT THE ROLE
The Workplace Operations Manager is the operational backbone of Tungsten Automation's headquarters and a key enabler of the executive team's effectiveness. This role owns everything that keeps the office running - from facilities and vendor management to high-stakes executive events and VIP visits - while serving as a reliable operational partner to the Chief of Staff on priority projects. The ideal candidate is a polished, proactive operator who anticipates needs, executes flawlessly, and takes pride in creating an exceptional environment for employees, customers, and leadership alike.
Mission: Ensure Tungsten's headquarters operates at the highest standard while enabling seamless execution of executive meetings, leadership events, and VIP engagements.
WHAT YOU'LL DO
Facilities & Space Management
Serve as the primary point of contact for building management, landlord, and facilities vendors
Oversee office maintenance, repairs, and service requests, ensuring timely resolution
Manage space planning, seating assignments, and office reconfigurations as the organization evolves
Ensure common areas, conference rooms, and workspaces are consistently clean, functional, and well-stocked
Vendor & Contract Management
Own relationships with office vendors - cleaning, security, equipment, supplies, food/beverage, and other services
Manage vendor contracts, invoices, and renewals in coordination with Finance and Legal
Identify cost-saving opportunities without compromising the employee or visitor experience
Logistics & Operations
Manage office supply inventory, ordering, and budget tracking
Coordinate mail, shipping, and receiving operations
Oversee office equipment (printers, AV, kitchen appliances) and coordinate repairs or replacements
Serve as the primary liaison for IT on hardware needs, desk setups, and equipment logistics
Executive & Leadership Support
Support board meetings and executive leadership meetings end-to-end - room setup, catering, AV, materials preparation, and on-site coordination
Plan and execute executive team offsites, including venue sourcing, travel logistics, agenda coordination, and on-site management
Coordinate customer and partner visits to HQ - managing itineraries, hospitality, meeting room preparation, catering, and executive briefing logistics
Serve as the on-site point of contact for all VIP and leadership visits, ensuring a seamless and professional experience from arrival to departure
Liaise with EAs and the executive team on scheduling and logistical needs that intersect with office operations
Partner with the Chief of Staff on ad hoc projects and priority operational initiatives as they arise
Health, Safety & Compliance
Maintain compliance with local health, safety, and building regulations
Serve as the office safety coordinator - managing emergency procedures, evacuation plans, and first aid supplies
Ensure adherence to company policies related to workplace standards
Employee Experience
Greet and support visitors, ensuring a professional and welcoming front-of-house experience
Coordinate office-wide logistics for new hire onboarding - desk setup, access, supplies, and day-one readiness
Support internal events and team gatherings from a logistics and facilities standpoint

Required Experience
WHAT YOU NEED TO SUCCEED
4-6 years of experience in office management, workplace operations, executive support, or a related field
Background supporting executive-level events, offsites, or board meetings
Strong organizational skills with exceptional attention to detail and follow-through
Proven ability to manage multiple vendors, events, and competing priorities simultaneously
Polished professional presence - comfortable interfacing with senior executives, board members, and external VIPs
Proactive problem-solver who anticipates needs and resolves issues before they escalate
Comfortable working independently with minimal oversight in a fast-paced environment
Proficiency in Google Workspace or Microsoft Office; familiarity with facilities or workplace management tools a plus
Utilizes AI-enabled tools (e.g., chatbots, document automation, analytics assistants) to improve efficiency, accuracy, and streamline routine tasks while following company AI governance and data privacy standards
Skills in prompting AI systems and assessing output quality
Ability to leverage AI to ideate, develop, and scale to the needs of their department

The base salary range for this role, across the US, is $57,000 - $105,000. Your actual base pay within this range will be determined by your work location as well as skills, qualifications, experience, and relevant education/training. The range provided reflects only the base salary for the role and does not include benefits.
