The Administrative Aide 1 will support the department/organization in various administrative and operational tasks.
Responsibilities
- Assisting with day-to-day operations of the department
- Helping with or preparing for department events
- Answering and operating departmental phones, emails, or other correspondence
- Supporting department staff
- Answering student, faculty, staff, or University visitor questions
- Providing customer service
- Updating and maintaining department files
- Demonstrating professional verbal and written skills
- Using Microsoft, Adobe, or other computer or departmental programs
- Creating social media material and marketing materials
- Helping with or preparing for department events
- Active enrollment as a student at Tulane University
- A Federal Work Study Award (potentially)
This position will help student employees demonstrate and cultivate the career readiness competencies in accordance with the National Association of Colleges and Employers (NACE).
Responsibilities
Communications & Digital Content Management (30%)
- Edit and update AEO websites and routine digital content.
- Create, post, and monitor social media content, including engagement and basic analytics.
- Draft the AEO E-news through EMMA.
- Draft and send communications to AEO-managed listservs.
- Track engagement metrics across platforms and compile basic reports.
- Design flyers and graphics for small or one-off events using approved tools.
- Develop project briefs and coordinate with graphic designers for larger initiatives.
- Submit required UCM forms and manage routine interactions with University Communications and Marketing.
- Ensure communications align with institutional branding and messaging standards.
- Maintain and update the AEO internal and external calendars.
- Monitor and manage the AEO Office email inbox and route inquiries appropriately.
- Manage Canvas communications for the ILP, including posting and editing content.
- Use the TULI email account to send ILP-related updates.
- Monitor and manage submission forms overseen by AEO.
- Create and distribute program assessments based on provided questions and instructions.
- Support event promotion and tailored outreach in collaboration with the Associate Director and Program Manager.
- Attend events as schedule permits to support live and post-event social media content.
- Assist with communications-related logistics connected to AEO programs and initiatives.
- Provide additional communications and administrative support as needed to ensure continuity of AEO operations.
Position Requirements:
- Must be currently enrolled as a student at Tulane University (undergraduate or graduate).
- Rising junior or senior standing preferred; graduate students also encouraged to apply.
- Enrollment in a related field such as communications, marketing, public relations, digital media, or a closely aligned discipline.
- Prior experience with communications-related work.
- Previous campus employment strongly preferred.
- Approximately 15-20 hours per week between 8:30 a.m. and 5:00 p.m.
- Ability to sit at a computer for extended periods and attend events in person as needed.
- Ability to lift or transport materials weighing up to 20 lbs.
- Work study not required (students with work study are welcome to apply).
- Position available during fall and spring semesters, with hopeful summer continuation.
- Work modality: hybrid and in-person, based on candidate availability and office needs.
