Position Description Summary:       

The Program Manager will serve as key personnel responsible for managing logistical and conference planning support services for Federal Transit Administration meetings, conferences, and related events. This position will oversee the planning, coordination, execution, and quality control of event support activities, ensuring that all services are completed efficiently, professionally, and in accordance with contract requirements. The Program Manager will coordinate staffing, manage schedules and deliverables, provide oversight of event preparation and execution, and ensure effective communication with government points of contact.


Responsibilities:        

•         Manage logistical and conference planning support activities for meetings, conferences, and related events.

•         Oversee contractor personnel and ensure assigned staff are qualified, properly utilized, and aligned to task requirements.

•         Coordinate meeting preparation activities, including briefings, teleconferences, meeting attendance, meeting minutes, and event support documentation.

•         Review and ensure the quality of documents, reports, slides, correspondence, briefings, and other meeting materials.

•         Monitor event planning progress and provide routine updates regarding overall preparation, readiness, and issue resolution.

•         Support coordination of conference facilities, logistics, materials, registration, audio-visual needs, and other event-related requirements.

•         Manage timelines, deliverables, and event milestones to ensure requirements are completed on schedule.

•         Support customer satisfaction through professional communication, timely problem identification, corrective action planning, and quality management.

•         Ensure contractor personnel comply with non-personal services requirements and identify themselves appropriately as contractor employees.

•         Coordinate with internal team members, subcontractors, and government representatives as needed to support successful performance.


Skills & Experience:  

•         Minimum of 10 years of experience managing events and conferences

•         Minimum of 5 years of experience managing a team

•         Experience performing administrative duties such as reviewing quality documents, reports, and slides

•         Experience coordinating briefings, conferences, teleconferences, telephone inquiries, meeting preparation, attendance, and meeting minutes

•         Proficiency with Microsoft Office, including Word, Excel, and PowerPoint

•         Experience preparing, editing, and finalizing correspondence, documents, and briefings

•         Strong time management and event management skills

•         Ability to coordinate multiple priorities, manage deadlines, and resolve planning or logistics issues

•         Strong written and verbal communication skills

•         Ability to provide professional, ethical, and customer-focused support in a federal contracting environment


Education:      

•         Bachelor’s degree required.
