Position: Sample Manager

Overview
TrustStone Group is seeking a highly organized and detail-oriented Sample Manager to oversee the intake, organization, and maintenance of all product samples across the business. This role is responsible for ensuring samples are properly tracked, stored, and readily accessible to support internal teams and customer meetings.
The ideal candidate thrives in a hands-on environment, has strong organizational skills, and takes pride in maintaining a clean, efficient, and showroom-ready workspace.
Key Responsibilities
Sample Intake & Tracking
- Receive and process incoming samples on a daily basis
- Log all samples into internal systems, including photos, product details, and relevant tags
- Ensure accurate classification and organization of all samples
Sample Organization & Inventory Management
- Maintain a highly organized system for storing and categorizing samples
- Manage physical sample inventory, including bin organization and archive storage
- Retrieve samples as needed for internal teams and client meetings
- Continuously ensure all samples are properly labeled and easy to locate
Showroom Management
- Maintain all showroom spaces to ensure they are clean, organized, and presentation-ready
- Ensure all displayed samples are functional, charged (if applicable), and properly set up
- Prepare showrooms ahead of meetings to ensure a polished customer experience
- Reset and organize spaces following meetings
Production Sample Oversight
- Manage and track all Pre-Production (PP) and Mass Production (MP) samples
- Ensure samples are stored, tracked, and accessible throughout the production lifecycle
- Support coordination with production and product teams as needed
Operational Support
- Maintain accurate records and tracking in Excel or internal systems
- Assist with general office organization related to samples and product displays
- Support ongoing maintenance of sample storage areas and archives
- Handle physical movement of sample bins and materials as needed
Qualifications
- 2–4 years of experience in a sample management, operations, or administrative role (consumer goods environment preferred)
- Strong organizational skills with exceptional attention to detail
- Proficiency in Excel and basic tracking systems
- Ability to manage physical inventory and maintain structured systems
- Comfortable in a hands-on role that includes lifting, organizing, and moving materials
- Strong time management skills and ability to prioritize tasks independently
