Overview:
The Recruiting Coordinator (RC) plays a critical role in supporting TrustedTech’s high-growth hiring initiatives by ensuring a seamless, efficient, and candidate-centric recruitment process. This role partners closely with the Talent Acquisition Manager and department hiring managers to coordinate interviews, support sourcing efforts, manage candidate communication, and contribute to operational excellence within the Talent Acquisition function.
As a key member of a fast-paced HR team, the Recruiting Coordinator helps build a strong talent pipeline, particularly for sales and early-career roles, while ensuring an exceptional candidate and hiring manager experience from application to onboarding.
Responsibilities:
Interview Coordination & Candidate Management:
- Manage all candidate scheduling across multiple departments, ensuring accuracy and a smooth experience.
- Coordinate phone, video, and onsite interviews, including room reservations and communication with panelists.
- Maintain timely, professional communication with candidates throughout each stage of the hiring process.
Recruiting Operations & Administrative Support:
- Post and maintain job listings across multiple job boards and internal systems.
- Update, track, and maintain candidate records in the Applicant Tracking System (ATS).
- Support offer letter preparation, background checks, and pre-hire documentation.
- Assist with onboarding logistics and Day 1 readiness for new hires.
Sourcing & Early Talent Pipeline Development:
- Partner with the Talent Acquisition Manager to identify, attract, and engage entry-level and sales candidates.
- Conduct resume reviews and initial qualification screens to identify promising talent.
- Support proactive sourcing across social channels, job boards, referrals, and events.
Cross-Functional Collaboration:
- Work closely with Sales, HR, and department managers to understand role requirements and hiring priorities.
- Provide timely updates on scheduling, pipeline status, and candidate progress.
- Assist in high-level recruiting initiatives, hiring events, and special projects.
Candidate Experience & Employer Brand Support:
- Ensure all candidate interactions reflect professionalism, warmth, and a strong employer brand.
- Help maintain a consistent, high-quality recruitment process that reflects TrustedTech’s values.
Required Skills & Qualifications (must-haves):
- 1–2 years of experience in a recruiting coordinator or talent acquisition support role.
- Strong organizational and time-management abilities with exceptional attention to detail.
- Excellent verbal and written communication skills; confident interacting with candidates and hiring teams.
- Experience working within an ATS (e.g., ADP, Lever, Greenhouse) and recruitment platforms such as LinkedIn Recruiter or Indeed.
- Ability to thrive in a fast-paced, dynamic environment and manage multiple priorities simultaneously.
- Customer service mindset with the ability to maintain professionalism under pressure.
Preferred Skills & Qualifications (nice-to-haves):
- Bachelor’s degree in Human Resources, Business, Communications, or a related field.
- Experience supporting high-volume hiring or sales recruitment.
- Exposure to sourcing activities or early-career recruiting programs.
- Prior experience in a technical or SaaS hiring environment, agency experience is highly preferred.
- Comfort with engaging candidates by phone frequently throughout the day.
- Experience in start-up or rapidly scaling environments.

Working Environment & Compensation Details:
- Type: Onsite role, Monday – Friday (UCI Research Park)
- Working Hours: 6:00 am to 3:00 pm OR 7:00 am to 4:00 pm
- Hourly Rate (Non-Exempt): $29.81 – $33.65 hourly (equivalent to approximately $62,000 – $70,000 annualized, based on a standard full-time schedule)
- Incentive Bonus Range: $5,000 – $7,000 (awarded based on performance and successful achievement of the variable compensation plan)
