We are seeking a detail-oriented Referral Coordinator to support our intake and scheduling operations by managing incoming referrals, communicating with clients, and ensuring smooth onboarding into care. This role is central to our mission of providing efficient, compassionate access to mental health services.
Key Responsibilities
Referral Management & Intake
- Receive, track, and process referrals from phone calls, emails, Zencare, Psychology Today, and other partner platforms.
- Conduct prompt outreach to prospective clients to gather required intake information and schedule appointments.
- Maintain an organized referral pipeline, ensuring timely follow-up and preventing missed opportunities for care.
Scheduling & Client Support
- Match clients with appropriate clinicians based on availability, insurance coverage, clinical needs, and client preferences.
- Coordinate appointment scheduling across multiple providers and service locations.
- Provide professional, compassionate communication with clients throughout the intake process.
Insurance Verification & Authorization
- Verify insurance eligibility, benefits, and required authorizations prior to scheduling.
- Track authorizations and ensure timely updates and renewals.
- Communicate coverage information clearly to clients and internal staff.
Administrative & Operational Support
- Maintain accurate data within the practice’s EHR system (Notenetic).
- Ensure compliance with HIPAA and internal privacy/procedural standards.
- Collaborate with clinicians, billing staff, and leadership to support client onboarding efficiency.
- Assist with periodic reporting on referral volume, conversion rates, and scheduling metrics.
Qualifications
Required
- High school diploma or equivalent; Associate’s degree preferred.
- Prior experience in healthcare administration, referral management, intake coordination, or similar administrative roles.
- Strong organizational skills with the ability to manage high volumes of communication and tasks.
- Excellent verbal and written communication skills.
- Working familiarity with scheduling systems, EHRs, and digital tracking tools.
Preferred
- Experience in behavioral health or mental health clinic operations.
- Experience verifying insurance benefits and authorizations.
- Ability to work independently and manage time in a fast-paced environment.
- Knowledge of HIPAA and patient confidentiality best practices.
