Overview
This is a highly regulated industry position in financial services. You will have to pass a drug test, have a clean record that will be background checked. No Drugs or alcohol will be permitted. Your credit score has to be in good standing. We will request references.

We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support . For the right candidate there is a career in financial services growth path option. This role requires a detail-oriented professional with excellent communication skills, strong technical proficiency, and the ability to manage multiple priorities efficiently. The ideal candidate will excel in office management, project coordination, and personal assistance, ensuring smooth daily operations and effective calendar management. A preferred candidate will have banking or financial advisory experience.

Responsibilities

  • Manage and coordinate complex calendars using Microsoft Outlook Calendar and scheduling meetings, appointments, and travel arrangements.
  • Provide executive administrative support including email correspondence, phone etiquette, and document proofreading.
  • Assist with event planning for company functions, meetings, and special events.
  • Handle bookkeeping and data entry tasks and other accounting tools.
  • Prepare reports, transcriptions, and presentations with high accuracy using Microsoft Office Suite.
  • Oversee office management duties such as filing, front desk responsibilities, and maintaining office supplies and office cleanliness.
  • Utilize DocuSign for electronic signatures and document management.
  • Provide personal assistant support as needed, including task prioritization and confidential handling of sensitive information.
  • Manage the social media posting and marketing compliance submissions.
  • Be familiar with or open to learning and using AI marketing tools.

Experience

  • Prior administrative experience is required, preferably in an office setting, bank teller, financial advisor, paraplanner.
  • Demonstrated experience with event planning, project coordination, bookkeeping, and office management is highly desirable.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace tools.
  • Excellent typing speed along with proofreading and transcription skills.
  • Familiarity with social media marketing , posting, lead follow up.
  • Exceptional customer service skills combined with professional phone etiquette are necessary for success in this role.
  • Experience with AI marketing tools can be learned on the job but must be willing and able to pick up and use new technology.

Pay: $35,000.00 - $40,000.00 per year
