Overview
The Accounts Payable and Accounts Receivable (AP/AR) Specialist is responsible for managing the company’s financial transactions related to incoming and outgoing payments. This role ensures timely and accurate processing of invoices, expense reports, and receipts, while maintaining detailed financial records to support the organization’s accounting operations and financial health.
Key Responsibilities
Accounts Payable (A/P):
* Review, verify, and process vendor invoices.
* Ensure timely payment of all vendor invoices and maintain proper documentation.
* Reconcile accounts payable transactions and resolve discrepancies with vendors.
* Prepare and process electronic transfers, checks, and ACH payments.
* Maintain vendor files and ensure compliance with company policies and tax regulations (e.g., W-9, 1099).
Accounts Receivable (A/R):
* Generate and send customer invoices accurately and on schedule.
* Monitor accounts receivable aging reports to identify delinquent accounts.
* Follow up with customers regarding outstanding payments and resolve billing issues promptly.
* Record incoming payments and reconcile customer accounts.
* Process credit memos, refunds, and adjustments as needed.
General Accounting Support:
* Work hand-in-hand with outside accounting company to ensure accounting team can provide end of month reports in a timely manner
* Maintain organized financial records in compliance with internal controls and audit standards.
* Contribute to process improvement initiatives to enhance accuracy and efficiency in AP/AR functions.
Qualifications
* Proven experience (2 years) in Accounts Payable, Accounts Receivable, or general accounting.
* Strong understanding of accounting principles and financial procedures.
* Proficiency with accounting software, specifically QuickBooks Online, and excel.
* Excellent attention to detail and accuracy in data entry.
* Strong organizational and time management skills.
* Effective communication and problem-solving abilities.
* Associate or bachelor’s degree in accounting, finance, or related field preferred.
Job Type: Part-time
Pay: $22.50 - $25.00 per hour
Expected hours: 15 per week
