A Closing Agent / Title Office Processor usually helps manage the file from contract to closing and makes sure all title, lender, buyer, seller, and compliance items are completed on time.

Main Duties

Open and process new files

  • Receive contracts and open new title files.
  • Review buyer, seller, property, lender, and realtor information.
  • Enter file details into the closing/title software.
  • Order title search, lien search, HOA/condo estoppel, survey, payoff, tax information, and other needed items.

Communicate with all parties

  • Communicate with buyers, sellers, realtors, lenders, attorneys, surveyors, HOAs, municipalities, and underwriters.
  • Provide file updates and request missing documents.
  • Follow up regularly to keep the transaction moving toward closing.

Title and document review

  • Review title commitment requirements.
  • Help clear title issues, liens, judgments, open permits, HOA balances, payoffs, mortgages, deeds, or identity issues.
  • Obtain necessary documentation from sellers, buyers, lenders, and third parties.
  • Work with the underwriter when special approval is needed.

Prepare closing documents

  • Prepare settlement statements, closing disclosures, deeds, affidavits, escrow agreements, seller documents, buyer documents, and company-required forms.
  • Review lender closing packages and make sure all required documents are included.
  • Confirm names, legal descriptions, vesting, loan amounts, payoffs, prorations, and fees are correct.

Coordinate the closing

  • Schedule closing appointments with buyers and sellers.
  • Coordinate mail-away closings, mobile notaries, remote sellers/buyers, and document return.
  • Confirm all parties have proper identification.
  • Make sure documents are signed, witnessed, notarized, and completed correctly.

Customer service and office support

  • Answer phones and emails professionally.
  • Greet clients and assist walk-ins.
  • Explain basic closing steps in simple terms.
  • Keep clients informed and comfortable during the process.
  • Maintain organized digital and paper files.
