Position Summary
The Group Coordinator supports the planning and execution of all confirmed group events at Gamble Sands. Once a contract is finalized, this position becomes the main internal point of contact—coordinating details across Lodging, Golf, and Food & Beverage to ensure every group experience meets the resort’s service standards. This role requires organization, clear communication, and the ability to manage multiple priorities in a dynamic resort environment.
Essential Duties & Responsibilities:
- Event Coordination:
- Act as the main internal liaison for confirmed group events.
- Prepare and distribute group itineraries, event details, and internal communication documents.
- Coordinate room assignments, dining schedules, and golf activities in partnership with department leads.
- Support smooth group arrivals, on-site experiences, and departures.
- Communicate changes, updates, or special requests promptly to all teams.
- Administrative & Communication:
- Maintain accurate and up-to-date group information in resort systems.
- Track event progress and ensure internal departments are informed and prepared.
- Review billing accuracy and support final reconciliation with Accounting and Sales.
- Participate in planning meetings and post-event recaps to improve future processes.
- Collaboration:
- Work closely with the Resort Sales Manager and department supervisors to align details.
- Support leadership by providing regular updates on upcoming and active group events.
- Assist with special resort events, tournaments, and VIP functions as needed.
Qualifications:
- 2 years of hospitality, event coordination, or guest service experience.
- Strong organizational and communication skills.
- Proficiency in Microsoft Office and general computer systems.
- Ability to multitask and maintain accuracy under pressure.
- Flexible availability, including weekends and holidays.
- Experience in a resort or golf environment preferred.
- Familiarity with hospitality management or event planning systems preferred.
