What are the responsibilities and job description for the Distribution Associate position at Triumph Motorcycles America Ltd.?
PURPOSE OF THE POSITION: This role ensures that all motorcycle orders are processed and motorcycles are shipped to North American dealers daily. This role offers solutions to Sales Management, Regional Managers, and dealers daily in regard to all aspects of Bike Distribution.
MAJOR RESPONSIBILITIES
- Daily motorcycle shipments to North American dealers
- Invoicing motorcycles shipped
- Receiving financial approval from wholesale finance suppliers (primarily Wells Fargo and North Point)
- Printing/mailing MSO’s associated with motorcycles shipped
- Uploading invoices and MSO’s for shipped motorcycles to dealer portal
- Review North American dealer new order and order change requests
- Manage the Motorcycle Autostock program for United States and Canada
- Review and respond in a timely manner to cases submitted via Microsoft Dynamics, emails and phone calls from RMs and dealers related to the Bike Distribution department
- Weekly updates of the UBL (Uncrated Bike List) report; prepping aged motorcycles on the Uncrated Bike List to be sold, and coordinating their shipping as required, Managing terminated dealer inventory repurchase and sale as UBL.
- Entering Autostock and Forward orders for dealers
- Warranty Registration Corrections
- Managing inventory updates and system uploads of incoming motorcycle shipments
KNOWLEDGE, SKILLS AND ABILITIES
- Knowledge:
- One needs to have knowledge of AS400 and Infor systems and knowledge of all programs related to motorcycles to be successful at this job
- Needs a working knowledge of Microsoft Office, Word, Excel, Case System Management, and Access
- Skills:
- One needs average to above average typing skills since a large portion of the job involves emailing contacts and entering data into AS400 and Microsoft Dynamics
- Abilities:
- Excellent communication skills, both written and verbal, as talking to dealers and explaining current programs is often required
- Keen decision making abilities to be able to quickly determine resolutions to any Bike Distribution related issues
RELATIONSHIPS
- Internal:
- Works closely with every department within the company on a daily basis, especially Sales, Aftersales, and Accounting
- This job also requires close communication with NSM, SM and RM (Sales Team) in US and Canada
- External
- Requires daily interaction with a majority of our dealers throughout North America
- Requires occasional communication with Wholesale Finance Supplier (Wells Fargo and North Point)
- Requires daily communication with suppliers to arrange motorcycle shipments to our dealer network; occasional communication with ocean freight suppliers to resolve any shipment issues
AUTHORITY
- Allows for decisions to be made on day to day shipment of motorcycles
- Allows for decisions on freight charges to be made; shipping rate quotes must be approved on a daily basis
- This job does not come with the authority to hire/fire anyone
- Most decisions can be made independently; management approval is needed for decisions that would vary from normal policy
