Responsibilities
- Oversee daily office operations, including managing multi-line phone systems, front desk duties, and filing systems to ensure organizational efficiency.
- Coordinate and support event planning activities for company meetings, client events, and team-building initiatives.
- Manage schedules for executives and team members, including calendar management and appointment setting to optimize productivity.
- Supervise administrative staff and coordinate training & development programs to enhance team performance.
- Handle vendor management by sourcing, negotiating, and maintaining relationships with suppliers and service providers.
- Maintain accurate bookkeeping records using accounting software such as QuickBooks; perform basic accounting tasks including invoicing, expense tracking, and payroll processing.
- Assist with human resources functions such as onboarding new employees, managing confidential information, and supporting employee relations initiatives.
- Support office budgeting efforts by tracking expenses and preparing financial reports using spreadsheets and financial software.
- Ensure compliance with company policies regarding confidentiality, client communication, and office procedures.
Qualifications
- Proven experience in office management or executive assistance roles with strong clerical skills.
- Demonstrated supervisory experience leading teams or managing administrative staff effectively.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with spreadsheets and other organizational tools.
- Experience with accounting software such as QuickBooks or similar financial software; knowledge of bookkeeping, payroll, and budgeting processes is essential.
- Excellent communication skills—both verbal and written—with a professional phone etiquette and customer service orientation.
- Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.
- Knowledge of human resources practices including onboarding, training & development, and handling confidential information responsibly.
- Experience in event planning, vendor management, or medical office management is a plus but not required.
- Ability to adapt quickly to new technologies and office procedures while maintaining attention to detail.
