The Administrative Support Assistant provides high-level administrative support to multiple senior leaders in our San Jose office while also supporting key operational needs for our Silicon team, including Enterprise client-related processes. This role is highly dynamic and ideal for someone who is proactive, adaptable, and comfortable managing a wide range of responsibilities with minimal supervision.
This position reports directly to the leaders it supports and plays a critical role in ensuring smooth day-to-day office operations and project coordination.
Job Duties and Responsibilities:
Leadership Support and Office Duties:
- Provide administrative support to San Jose leadership, including calendar management, travel coordination, and meeting/event planning
- Ensure smooth day-to-day office operations, including:
- Greeting visitors, answering phones and filing
- Managing office supplies, kitchen inventory, and vendor services
- Coordinating employee travel and internal events
- Supporting new hire onboarding and office space planning
- Managing and communicating production reports
- Generate reports, track timesheets, and provide billing and production updates
- Serve as a liaison for internal teams and properly route HR, payroll, benefits, and finance- related inquiries appropriately
- Manage vendor relations with various groups including property management, electrical, maintenance, telecom, IT, etc.
- Assist management in providing effective support for all employees, customers, and external contract employees.
- Manage special projects and coordinate project deliverables, as needed.
Enterprise Client Duties/Responsibilities:
- Own and manage the onboarding process for Enterprise Clientele and assist with customer service, communication and troubleshooting as needed.
- Provide reports related to any SOWs or amendment changes, rate breakdown, PTO tracking, timecard tracking, etc.
- Track company-issued equipment to ensure laptops are accounted for and ordered based on need.
- Additional duties and responsibilities, as needed, based on the frequently changing needs and growth that occurs across the company.
- All other duties assigned.
Qualifications and Skills:
- Associate degree welcomed; bachelor’s degree preferred
- Prior experience as an office or administrative assistant
- Proficiency in full Microsoft Office Suite
- Strong organizational skills with the ability to prioritize tasks
- Strong communication skills (verbal and written)
- Able to complete complex administrative tasks with minimal supervision
- Proactive approach to problem solving
- Comfort with setting up technology tools, such as PC's
- Ability to wear many hats, and prioritize accordingly
- Adept at managing time and effort across multiple activities
- Able to execute processes that may not have defined procedures
- Willing to take the initiative to complete unanticipated or ad hoc tasks
- Collaborative, professional team player with a positive attitude
- Maintain high level of confidentiality
- High attentiveness to detail
- Able to work well in a fast-paced, team environment
