About the position...
The SOP & Process Improvement Specialist is responsible for creating, maintaining, and improving the company’s standard operating procedures. This role works closely with teams across the organization to document how work is done, identify opportunities for improvement, and ensure processes are consistent, efficient, and compliant. By observing workflows and applying process improvement best practices, the position supports operational excellence across Corporate, Property Management, and Construction functions.
- Observe, shadow, and interview employees to document current-state workflows and procedures.
- Develop clear, concise, and standardized SOPs using approved formats and templates.
- Create supporting documentation such as process maps, flowcharts, checklists, and visual aids.
- Maintain a centralized SOP library with appropriate version control and accessibility for all employees.
- Analyze existing processes to identify inefficiencies, redundancies, risks, and opportunities for improvement.
- Conduct workflow analysis, root-cause analysis, and data review to support recommendations.
- Apply process improvement methodologies (e.g., Business Process Management, Lean, Six Sigma concepts) to enhance operational effectiveness.
- Establish and manage an ongoing SOP review cycle to ensure procedures remain accurate, relevant, compliant, and align with internal quality standards ad best practices.
- Support rollout of new and revised SOPs through communication, training, and job aids.
- Provide guidance to employees on how to locate, understand, and apply SOPs.
- Manage multiple SOP and process improvement projects concurrently, meeting timelines and priorities.
- Track progress, milestones, and outcomes related to SOP development and process improvements.
- Support administrative functions related to documentation, reporting, and SOP governance.
What we are looking for from you...
- Must have a valid Driver's License, automobile insurance, and reliable transportation
- 3 years' experience in process documentation, process improvement, operations, training, or a related role
- Bachelor's Degree in Business Administration, Operations Management, related field (or equivalent experience) is required
- Experience working in the Construction or Property Management industry is preferred but not required
- Must be proficient in Adobe Acrobat and Microsoft Office programs, including but not limited to Word, Excel, Teams, Outlook, SharePoint
- Experience using HRIS (UKG), Yardi, or other similar systems are a plus
- Critical thinking mindset and comfortable challenging "how it's always been done"
- Strong ability to analyze workflows, data, and operational processes
- Ability to build strong relationships across departments and facilitate collaboration without direct authority
- Experience managing projects and working cross functionally
