Your Job
Trinity Sales & Rental is seeking a motivated and eager-to-learn Accounting Specialist to join our Finance Team. This role is responsible for performing a wide range of accounting and administrative tasks to support the financial operations of an equipment rental business. This role ensures accuracy and efficiency in accounts payable, accounts receivable, credit processing, tax exemption documentation, and general accounting duties. The ideal candidate is detail-oriented, organized, and able to work in a fast-paced environment with multiple locations, customers, and rental transactions.
What You Will Do
· Accounts Receivable
- Process daily invoicing for rental contracts -Periodic invoicing, statements
- Apply customer payments (ACH, credit card, check, remote deposit capture) and payment Recons
- Monitor the AR aging report and handle collection efforts such as customer communication, and escalations
- Communicate with customers regarding invoice copies, statements, billing discrepancies, and payment inquiries
- Conduct AR audit to verify accuracy on outgoing invoices
· Accounts Payable
- Review and code vendor invoices for rental fleet, parts, services, and general expenses.
- Match purchase orders, packing slips, and invoices for accuracy.
- Maintain W-9s, vendor files, and ensure compliance with company AP procedures.
· Credit, Terms & Certificates
- Process and review credit applications; perform basic credit checks and communicate approvals or denials
- Monitor customer credit limits and terms
- Review and validate tax-exemption certificates and maintain proper documentation.
- Generate and update certificates of insurance when required for customer rentals.
· General Administrative & Financial Support
- Support both branch teams with contract billing questions, off-rent confirmations, and rental adjustments
- Assist with internal audits and ensure compliance with accounting controls
- Maintain organized digital and physical records within company systems
- Provide backup support for the other Accounting Specialist Role
Who You Are (Qualifications)
- Experience in Accounts Payable and/or Accounts Receivable
- Experience with Microsoft Office Suite or Office 365, including advanced Excel skills (spreadsheet creation editing, data manipulation, analysis and formula creation) with the ability to quickly learn and adapt to new software
- Strong interpersonal and customer service skills
- Analytical mindset with problem-solving abilities
- Reliable and supportive team member
- High school diploma required
What Will Put You Ahead
- Accounting experience or background
- Experience with Dext and QuickBooks Online (QBO)
- Knowledge of or experience with Retailer Sales Tax Laws
- Experience with Collections
