Summary: | The Academic Services Coordinator assists with academic affairs, including academic programs, exam preparation and administration, faculty support, and policies and regulations, to ensure the effective delivery of high quality academic programs that meet strategic goals. |
Responsibilities: | - Directs the exam approval process, including communication to faculty regarding deadlines, the exam submission process, and Associate Dean of Students and Faculty Administration’s approval, as well as the loading of exams in Canvas.
- Assists with the adjunct faculty hiring process, including maintaining a job posting, reviewing applications, corresponding with potential faculty, securing HR authorization/TIU credentials for approved faculty, and updating the TLS website.
- Onboards new online JD faculty (with the exception of LRW faculty) with the appropriate training in Canvas, Panopto, Zoom, and the TLS Portal while updating the training course materials as needed to ensure relevancy and accuracy.
- In conjunction with the Executive Assistant to the Dean, coordinates faculty observations, peer reviews, tenure reviews, and annual institutional evaluations.
- Collaborates on faculty handbook and Catalog revisions.
- In conjunction the Associate Dean of Academic Affairs, makes teaching offers to and then prepares and distributes adjunct faculty contracts.
- Maintains Dean’s Office calendar and annual plan, working on programming needs to ensure that the Dean’s Office is focused on its annual plan.
- Assists with the JD master schedule and budget, including exam dates, budget implications, and section and professor needs.
- Works with the Associate Dean of Academic Affairs on HLC, State Bar of California, or other accreditation, including Assessment Plans, Assessment Reports, and Program Review.
- Collaborates with the Registrar’s Office regarding best practices for exam administration in Honorlock and supports the Registrar’s Office during the administration of Midterm and Final Exams.
- Addresses professor concerns regarding courses, students, and exams.
- Continuously seeks to move TLS forward with creative and strategic thinking.

- Bachelor’s Degree degree required.
- Excellent interpersonal and communication skills.
- Computer literacy and knowledge of Canvas, Panopto, Honorlock, and Google Workspace..

Working Relationships: | The Academic Services Coordinator reports to the Associate Dean of Academic Affairs but works with all departments. |
Work Schedule: | This is a part-time, on-campus position in the Dean’s Office. The employee is expected to be on-campus 25 hours per week, preferably in the morning Monday-Friday. This employee will need to be available during exam administration to assist with Honorlock issues. |
Compensation | This position will be paid $25-30, per hour, commensurate with experience. |
