Reports To: General Manager

Position Overview

Tribe Med Spa is seeking a motivated, reliable, and organized Front Desk Manager/Receptionist/ Team Lead to oversee daily operations at our Lutz location. This role is ideal for a self-starter who thrives in an independent environment while maintaining strong communication with remote leadership.

You will be responsible for managing front desk operations, supporting providers and clients, leading in-office processes, and ensuring exceptional customer experiences. While the General Manager provides virtual support and oversight, you will be the primary on-site leader.

Key Responsibilities- Front Desk & Client Experience

  • Greet and assist clients in a warm, professional manner
  • Manage scheduling, confirmations, and cancellations
  • Process payments, memberships, and packages
  • Handle phone calls, texts, and online inquiries
  • Maintain accurate client records and documentation
  • Resolve client concerns with professionalism

Office & Operations Management

  • Open and close the facility according to protocols
  • Maintain cleanliness and organization of reception and treatment areas
  • Monitor and restock supplies and inventory
  • Coordinate with vendors and service providers
  • Ensure compliance with spa policies and procedures
  • Maintain safety, sanitation, and HIPAA standards

Leadership & Team Support

  • Serve as on-site leader during most operating hours
  • Support providers and staff with daily needs
  • Assist with onboarding and training of new team members
  • Reinforce company standards, culture, and expectations
  • Report staffing or performance concerns to management

Administrative & Reporting Duties

  • Prepare daily and weekly reports (sales, bookings, inventory, issues)
  • Track performance metrics and goals
  • Communicate updates, challenges, and opportunities to management
  • Assist with marketing initiatives and promotions
  • Support implementation of new systems and procedures

Sales & Revenue Support

  • Promote services, memberships, and retail products
  • Upsell and cross-sell appropriately
  • Ensure promotional offers are communicated and executed
  • Help drive bookings and retention

Qualifications

  • High school diploma or equivalent (Associate’s or Bachelor’s preferred)
  • 2 years of experience in customer service, medical spa, hospitality, or management
  • Strong organizational and time-management skills
  • Excellent written and verbal communication
  • Ability to work independently and problem-solve
  • Proficient with scheduling and EMR systems
  • Professional appearance and demeanor
  • Reliable transportation and punctuality

Preferred Experience

  • Previous medical spa, aesthetics, or healthcare experience
  • Leadership or supervisory background
  • Experience working with remote management
  • Sales or commission-based experience

Work Environment

  • Primarily independent on-site role
  • Virtual support and supervision from General Manager
  • Fast-paced, client-focused environment
  • Requires multitasking and adaptability
