Job Summary
We are seeking a professional and organized Receptionist/Administrative Assistant to join our team. This role is vital in ensuring smooth office operations, providing excellent customer service, and supporting administrative functions. This role also includes some social media marketing and helping run the Facebook and Instagram pages. The ideal candidate will possess strong office management skills, be proficient with computer applications, and demonstrate exceptional communication abilities. Bilingual skills are a plus, as well as experience in medical or dental reception.
Duties
- Greet visitors and clients warmly at the front desk, providing excellent customer service
- Manage multi-line phone systems, screen calls, and direct inquiries appropriately
- Schedule appointments and manage calendar for staff and clients using Google Workspace or Microsoft Office tools
- Perform data entry, filing, and maintain organized records for easy retrieval
- Handle correspondence via email and phone, ensuring professional communication with clients and vendors
- Assist with billing, invoicing, bookkeeping using QuickBooks or similar accounting software
- Support office management tasks including supply ordering and maintaining office equipment
- Proofread documents for accuracy and clarity before distribution
- Provide support with personal assistant duties as needed, including calendar management and task prioritization
- Running a successful Facebook and Instagram account with strong engagement
Experience
- Prior office experience in administrative support or clerical roles is preferred
- Experience with front desk operations, multi-line phone systems, and customer service is essential
- Familiarity with QuickBooks, Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry tasks is highly desirable
- Bilingual proficiency is a plus to assist diverse clientele
- Knowledge of medical or dental receptionist procedures is advantageous but not required
- Strong organizational skills, attention to detail, and excellent phone etiquette are necessary for success in this role
- Proven ability to manage time effectively and handle multiple tasks simultaneously
