Assists the Bridge Programs Office in providing excellent transitional experiences through exceptional customer service to prospective and current students by helping them navigate enrollment, academic, and program requirements. Responsible for the administrative, clerical, and front-line customer service activities of the Bridge Programs Office as well as additional duties as assigned to support the Enrollment Pathways division.
Job Functions:
- CLERICAL: Responsible for answering phone calls, returning voicemails, receiving/distributing mail, directing walk-in traffic, answering questions, etc. Helps maintain accurate and updated databases, as needed. Composes and maintains routine correspondence, documents, reports, charts, spreadsheets, etc. Formats and prepares various documents for internal or external distribution. Maintains efficient filing, storage, and archival systems, ensuring that the office and storage rooms are neat and orderly and that filed or stored materials can be easily retrieved. Prepares materials for regular or bulk mailing, following all College and postal regulations, using the Bridge databases or other sources. Handles office purchases and inventorying. Completes all assignments accurately and in a timely manner while utilizing appropriate technological capabilities and skills to perform tasks. Performs other duties as assigned.
- ADMINISTRATIVE: Manages the front office and provides triage functions for customer service needs. Anticipate problems, issues, and additional tasks to ensure a successful outcome. Supervises (part-time) front office staff. Records and maintains payroll information for student staff, as applicable. Submits, records, and tracks all requests made to various College support offices (e.g., maintenance, housekeeping, IT). Assists with the planning and execution of events or meetings such as orientation and/or information sessions by handling designated tasks. Completes part-time contracts, travel reimbursement requests, purchase orders/check requests, manages purchasing card accounts, monitors departmental budgets, following all appropriate College policies and regulations. Assists with College systems (Banner) tracking and processing.
- DEPARTMENT AND COLLEGE SERVICE: Assists in Bridge Programs evaluations and assessments periodically throughout the year. Monitors webpage and provides updates in collaboration with Marketing. Serves on committees as well as assists in coordinating and facilitating staff, department, division, and college-wide functions. Attends staff, department, division, and college-wide meetings. Coordinates communication between staff members and students and disseminates information to the greater College community. Retrieves materials from various offices on campus or delivers materials to various offices or individuals. Uses College administrative software to perform various tasks.
- OTHER: Performs other duties as assigned.
Minimum and Additional Requirements
A high school diploma. Related clerical experience may be substituted for a high school diploma.
Ability to apply critical thinking skills to meet customer service needs; ability to communicate, both oral and written, with diverse populations; ability to effectively organize and prioritize.
Minimal night and weekend hours are required associated with student events and needs; ability to pick up, slide, or move up to 30 pounds short distances.
