Position Summary:
We are seeking a highly organized and detail-oriented Medical Records & Scheduling Coordinator to join our hematology and oncology practice. This full-time role combines responsibility for medical records management with patient scheduling to support efficient clinical operations.
The ideal candidate will have a strong understanding of medical records processes, including chart preparation for new patient visits, ensuring all documentation is complete, organized, and ready for physician review. This position requires accuracy, confidentiality, and the ability to manage multiple responsibilities in a fast-paced specialty practice.
Key Responsibilities:
Medical Records & Chart Preparation:
- Manage and maintain accurate and complete patient medical records
- Prepare and organize charts for new patient visits, ensuring all required records, labs, imaging, and referrals are obtained and reviewed in advance
- Ensure charts are complete, accurate, and ready for physicians prior to patient appointments
- Process incoming and outgoing records requests in a timely manner
- Scan, upload, and organize documentation within the EMR
- Ensure compliance with HIPAA and confidentiality standards
- Communicate with referring offices and facilities to obtain necessary records
Scheduling:
- Schedule patient appointments for providers, treatments, and follow-ups
- Coordinate new patient referrals and ensure appropriate time allotments
- Verify patient demographics and insurance information
- Communicate appointment details clearly with patients
- Assist in managing provider schedules and optimizing patient flow
Qualifications:
- Experience in medical records, scheduling, or front office healthcare roles preferred
- Strong understanding of chart preparation and medical records requirements
- Oncology or specialty practice experience preferred
- Highly organized with strong attention to detail
- Ability to prioritize and manage multiple tasks efficiently
- Strong communication and customer service skills
- Proficiency with EMR systems (oncology EMR experience preferred)
